ERA Settings


Why Use This Function:

An Electronic Remittance Advice is a digital version of the traditional paper remittance received from the Medical Aid. An ERA provides essential information regarding the claims that were submitted and the responses returned, allowing you to easily track, verify, and reconcile payments from Medical Aids.

ERAs are valuable as they save time and effort they save. Instead of paging through long paper remittances, the system automatically organises, matches, and displays the information clearly and accurately. This reduces manual errors, speeds up reconciling, and gives the Practice immediate insight into claim outcomes, making your financial processes cleaner, quicker, and more efficient.

💡Please Note: To access and utilise Electronic Remittance Advice (ERA) features, you will need to inform us that you would like these features enabled. The setup for the use of ERAs is completed during your installation process.


  • This user manual will start on the Settings screen, User Settings tab.

  • Click on the Entity Settings tab.

  • The Entity Settings will display.


  • Click on the ERA Settings panel.


    • The ERA Settings panel will expand.


  • Click on the Short Payment Action drop-down menu.


    • The Short Payment Action drop-down menu will expand.


💡 Please Note: The options available in the panel may change according to the option you selected.


    • Select the desired Short Payment Action.


    • The Cut-off Rule options will become available.



  • Short Payment Action: This is the action that will apply after the Medical Aid has paid a claim short. 
    • Do Nothing: This option will leave the amount under Medical Aid when the Medical Aid paid a claim short.
    • Cut-off Rule (Default): This option will apply the Cut-off rule to the outstanding amount.
      • Short Payment Journal Type: This drop-down menu lets you decide how the system should record a short payment when the Cut-off Rule is applied.
        • Discount: The short paid amount is treated as a discount on the Invoice, and the Practice absorbs the difference, and the Patient won’t be billed for it.
        • Write-off: The short paid amount is written off completely. It’s removed from the account as a loss, and neither the Patient nor the Medical Aid will be charged for it.
    • Shift to Patient: This option will move the short paid amount to the Patient's liable side.
    • Write Off/Sett. Disc: This option will Write Off the outstanding amount or can be used as a Settlement Discount.
    • Cut-off Rule (Also Patient Amount): This option will follow the Cut-off Rule, and if the rule says the short payment must go to the Patient, then it will automatically push that amount to the Patient amount.
  • Cut-off Amount: This option lets you set a threshold amount, for example, R50. Any short payment above this amount will be handled according to the Short Payment Action you have selected. The specified amount will also apply to the settlement discount account.


            • Click on the Save button to finalise any changes made.
