User Entity Settings - Theming

Why Use This Function:

Theming allows you to customise how bookings and booking fields appear in your Diary screen, to suit your workflow and preferences. Customising the layout and look of your bookings improves visibility, reduces confusion, and will help you work more efficiently with different booking types and Patient data.

Accessing Theming Settings
The Theming panel helps you enhance the clarity and usability of the Diary screen by allowing you to adjust how bookings and booking fields are displayed according to your personal preferences and workflow needs.

  • Click the User Entity Settings tab.

đŸ’¡ Please Note: User Entity Settings will always override Entity Settings and Diary Settings.

  • Click the Theming panel.

  • The Theming panel will expand.

  • Click the Booking Display Template drop-down menu.

  • Select the desired theme.

    • An explanation will be given for the themes available.

Default Template
The Default Template theme is the base layout applied to your Diary screen bookings when no other custom theme has been selected. This theme is conveniently designed to display the most relevant booking information an average Practice might need, providing a practical starting point for managing bookings.

  • Displayed is an example of the Default Template theme.


  • The Default theme will display the following information:
    • Booking Status: Indicates the current status of the booking.
    • Booking Type: Displays the type of booking made.
    • Debtor Number: The unique account number assigned to the Debtor responsible for payment.
    • File Number: The Patient’s unique file or reference number on the system.
    • Patient Details: Patient’s name, identification number, age, and gender.
    • Treating Practitioner: Name of the Practitioner assigned to the booking.
    • Debtor Details: Name and details of the Debtor responsible for the account.
    • Booking Icons: Quick-access icons indicating additional booking details or actions, such as notes or invoices.

Minimal Template
The Minimal Template applies a simplified layout to the Diary screen bookings, displaying only the most essential booking information. This theme intends to reduce visual clutter in the Diary screen and help you focus on key booking details, making it ideal for fast-paced or high-volume booking environments.

  • Displayed is an example of the Minimal Template theme.


  • The Minimal theme will display the following information: 
    • Booking Status: Indicates the current status of the booking.
    • Booking Type: Displays the type of booking made.
    • Treating Practitioner: Name of the Practitioner assigned to the booking.
    • Patient Details: Patient’s name, identification number, age, and gender.
    • Debtor Number: The unique account number assigned to the Debtor responsible for payment.
    • Debtor Details: Name and details of the Debtor responsible for the account.
    • Booking Icons: Quick-access icons indicating additional booking details or actions, such as notes or invoices.

MedAire Template
The MedAire Template customises the layout of bookings in the Diary screen to display information relevant to MedAire workflows. It replaces standard Patient and Debtor details with key MedAire-specific fields such as the M1 or M2 Type, Patch Number, and Booking Time. This template provides a simplified view of bookings that highlights essential flight medical information, making it easier to manage bookings and track key details during aviation-related operations.

  • Displayed is an example of the MedAire Template theme.

  • The MedAire theme will display the following information:
    • Booking Status: Indicates the current status of the booking.
    • Booking Type: Displays the type of booking made.
    • M1 or M2 Type: Indicates the MedAire case type assigned to the booking.
    • Patch Number: Unique reference number for the MedAire medical case or communication patch.
    • Time and Duration: Shows the scheduled start and end time for the booking.
    • Treating Practitioner: Name of the Practitioner assigned to the booking.
    • Booking Icons: Quick-access icons indicating additional booking details or actions, such as notes or invoices.
