The Dashboard Screen: Navigation and Use
Why Use This Function
The Dashboard screen provides quick, centralised access to the Reports that have been selected in the User Settings Reports panel. The Dashboard is designed to give Practitioners and Admin Staff insight into critical operational and financial metrics, without having to navigate through multiple menus or generate reports manually. By displaying only the relevant Reports, the Dashboard ensures that Admin Staff and Practitioners only see the data that matters most to their role, whether it’s turnover, booking trends, or clinical case summaries. This focused access improves decision-making, streamlines workflows, and enhances productivity across the Practice.

Setting Up the Dashboard
Setting up the Dashboard ensures that only the Reports relevant to your role or daily tasks are visible when you open the Reports screen. This makes it quicker to access the data you need. It also reduces cognitive load, keeps your workspace tidy, and helps you focus on key performance indicators that matter to you or your Practitioner. Customising your Dashboard saves time, improves efficiency, and makes decision-making a whole lot easier.
- Click on the Reports panel.

💡 Please Note: User Settings always override Entity Settings.
- The Reports panel will expand.

- Tick the Checkbox next to each Report you want to display on the Dashboard screen.

- An explanation will be provided for the Reports available:
Navigating Report Panel
The Dashboard is designed to give Practitioners and Admin Staff insight into critical operational and financial metrics, without having to navigate through multiple menus or generate reports manually. It allows you to view detailed data by Clicking into specific reports, select a custom date range to filter results, download reports in Excel format for offline analysis or record-keeping, and save graphs as images for easy sharing in presentations or meetings. These features make it quick and efficient to access relevant data and support informed decision-making without leaving the Dashboard.
- From the Diary screen, Click on the Dashboard tab.

- The Dashboard screen will open.

💡Please Note: The data is initially displayed in graph and chart format. You can view a detailed breakdown by Clicking the Details button, where available.
- Click on the Details button.

- The Detailed View screen will open.

- Click on the Download button to export the Report data as a CSV file.

- Right-click on the Report graph to download the information as an image.

- Click on the Refresh button to update the corresponding Report data.

- Click on the Date Picker field to select the preferred time period to display in the Report.

💡 Please Note: By default, the Report displays data from the previous 30 days.
- Click on the Legend Item to display or hide the related data in the graph.

- The Report information will automatically be updated in real-time.

- Click on the Collapse All button to collapse all the Report panels.

- Click on the Refresh All button to update all the Report panels.

💡 Please Note: The Reports will only display information up to the time when the Dashboard was opened and must be refreshed if an extended period of time has elapsed.
Practice Turnover Report
The Practice Turnover Report provides a high-level summary of the Practice’s performance over a selected period. It includes key financial metrics and an audit trail of transactions, making it useful for tracking income trends, monitoring outstanding amounts, and supporting informed decisions around billing and collections.
- Click on the Details button to display a more detailed Report.

- This screen will display a detailed Report containing the following information:
- Number of Visits: All patient appointments completed within the selected period.
- New Debtors: First-time account holders created during the selected period.
- New Patients: Individuals visiting the Practice for the first time during the selected period.
- Procedures and Consultations: Value of all medical procedures and consultations billed during the selected period.
- Materials: Total value of single-use medical consumables.
- Medications: Prescribed and dispensed medicines billed during the selected period.
- Cashflow: Money received by the Practice during the selected period, including payments from Patients and Medical Aids.
- Turnover (Excl. VAT): All invoiced services and items before VAT are added, reflecting the actual revenue generated.
- VAT: Value-Added Tax charged on all applicable services and items, calculated based on the current VAT rate.
- Turnover (Incl. VAT): Income received for services and items rendered, including the Value-Added Tax portion.
- Transaction Date: The date on which the medical service was rendered or the financial entry was recorded in the system.

Practice Overview
The Practice Overview Report provides a high-level summary of the Practice’s performance over a selected period. It includes key financial metrics and an audit trail of transactions, making it useful for tracking income trends, monitoring outstanding amounts, and supporting informed decisions around billing and collections.
- Click on the Details button to display a more detailed Report.
- This screen will display a detailed Report containing the following information:
- Account Number: A Unique identifier assigned to each Debtor or Patient.
- Invoice Number: A System-generated unique reference assigned to each Invoice issued.
- Capture Date: The date on which the transaction or Invoice was entered into the system.
- Financial Period: The accounting period in which the transaction is reported.
- Turnover: All invoiced services and items reflect the actual revenue generated.
- Cashflow: Money received by the Practice during the selected period, including payments from Patients and Medical Aids.
- Net Turnover: This figure reflects the actual earnings from services and sales before taxes are applied.
- Outstanding: The total amount still owed to the Practice for services rendered, including unpaid Invoices by Patients or Medical Aids.
- Medical Aid Outstanding: The portion of the total Outstanding amount that is specifically still due from Medical Aids.
- Patient Outstanding: The portion of the total Outstanding amount that is still due directly from Patients.
- Last User: The most recent user who modified or captured the transaction.
- Cashbook Number: A unique reference number assigned to a transaction recorded in the cashbook.

Turnover Report (Codes Billed)
The Turnover Report visualises billing turnover by procedure codes, summarised as a pie chart with the distribution of how often each code was billed over a specified date range. This screen gives the Practitioner or Admin a quick, visual overview of the most billed codes in a given timeframe. Helping to track billing trends, identify popular procedures, and spot any unusual activity.
- Click on the Details button to display a more detailed Report.

- This screen will display a detailed Report containing the following information:
- Code: A unique billing code assigned to the item or service.
- Description: A Brief explanation of what the item or service represents.
- Quantity: The number of times a billing code was used.
- Turnover (Incl. VAT): Income received for this service or items rendered, including the Value-Added Tax portion.
- Turnover (Excl. VAT): All invoiced services and items before VAT is added.
- VAT: Value-Added Tax charged on all applicable services and items, calculated based on the current VAT rate.

Doctor Overview
The Doctor Overview Report provides a high-level summary of a Practitioner's performance for a selected period. It displays all billed transactions per Practitioner, including any discounts applied. This is useful for monitoring individual performance, identifying billing patterns, and supporting decisions around incentives, workload distribution, or financial planning.

- This screen will display a detailed Report containing the following information:
- Account Number: A Unique identifier assigned to each Debtor or Patient.
- Invoice Number: A System-generated unique reference assigned to each Invoice issued.
- Invoice Date: Shows the date when the Invoice was issued for the item or service.
- Capture Date: The date on which the transaction or Invoice was entered into the system.
- Financial Period: The accounting period in which the transaction is reported.
- Turnover: All invoiced services and items reflect the actual revenue generated.
- Cashflow: Money received by the Practice during the selected period, including payments from Patients and Medical Aids.
- Journals: Adjust a Patient’s account by allocating amounts to income or expenditure accounts.
- Net Turnover: This figure reflects the actual earnings from services and sales before taxes are applied.
- Outstanding: The total amount still owed to the Practice for services rendered, including unpaid Invoices by Patients or Medical Aids.
- Medical Aid Outstanding: The portion of the total Outstanding amount that is specifically still due from Medical Aids.
- Patient Outstanding: The portion of the total Outstanding amount that is still due directly from Patients.
- Last User: The most recent user who modified or captured the transaction.
- Cashbook Number: A unique reference number assigned to a transaction recorded in the cashbook.

Booking Status Report
The Booking Status Report displays the number of Patient bookings per status for a selected period. Best practice is to ensure only Done statuses remain at the end of each business day. This confirms that all appointments were completed, billing was processed, and payments were received or submitted to the Medical Aid. This report ensures no bookings fall through the cracks, tracks operational efficiency, and maintains accountability in the billing workflow.

- This screen will display a detailed Report containing the following information:
- Count: Displays the number of bookings with the same status on the given date.
- Date: Shows the date on which the bookings occurred.
- Status ID: System-generated identifier for the booking status.
- Name: Displays the name of the booking status.

Booking Type Report
The Booking Type Report displays a breakdown of all booking types used, along with the total number of bookings per type. This helps the practice identify which booking types are most commonly used.

Click on the Details button to display a more detailed report.

- This screen will display a detailed Report containing the following information:
- Count: Displays the number of bookings with the same status on the given date.
- Date: Shows the date on which the bookings occurred.
- Type ID: System-generated identifier for the type of booking.
- Name: Displays the name of the booking status

Case Management
The Case Management Report will display a series of data that corresponds to Clinical Tasks and decisions aimed at managing a patient from the EMR Form with a specific condition or disease.
