Booking Statuses
Why Use This Function:
Personalising how appointment statuses appear on the Diary screen improves visibility and usability by allowing you to customise colours, text contrast, visibility, and stacking order for Booking Statuses. This makes it easier to identify the state of appointments at a glance. Custom colours can be applied to highlight priority statuses, minimise eye strain, or align with internal workflow preferences. Adjusting the stack order and visibility helps declutter the Diary screen and ensures key information is prominently displayed. Tailoring the Booking Status display reduces visual confusion, speeds up decision-making, and supports a smoother, more intuitive daily workflow.

- Booking Status Columns

- Click on the User Entity Settings tab.

- Click on the Booking Statuses panel.
- The Booking Statuses panel will expand.
Booking Status Columns
These columns will allow you to personalise how each Booking Status will appear on the Diary screen. You can customise background and font colours, choose which statuses are visible, and control how they are layered when overlapping. These settings will help tailor the visual layout of your appointment schedule to suit your workflow, improve clarity, and enhance quick recognition of appointment stages. - Booking Status: This column lists all the available booking statuses in the system. Each status represents a stage in the Patient's appointment lifecycle.
- Default Colours: Displays the system-assigned background colour for each Booking Status. These colours visually distinguish each status on the Diary screen by default.
- User Override Colours: If you want the status to appear in a different colour on your Diary screen, you can override the default here.
- Click on the User Override Colour field to open the Colour Picker.

- Select the new desired colour, Press the Enter key to confirm your new colour choice.

- Clear User Colour: Resets the custom colour you’ve set in the User Override Colour field and reverts the status to the system’s default colour.
- Default Font Colours: Displays the system-assigned font colour that appears within each Booking Status on the Diary screen.
- User Override Font Colour: Allows you to override the default font colour. Use this if you require a different font colour for better visibility.
- Clear User Font Colour: Removes the custom font colour and restores the default text colour set by the system.
- Stack Order: This field determines the vertical display order of statuses if multiple Booking Statuses are stacked or displayed simultaneously on the same time slot. A lower number will place the status higher in the stack. If left blank, the system uses its default stacking logic.
- Visibility: If set to Yes, this status will be visible on the diary. You can change this to hide certain statuses that are not currently in use or needed for display.
- Visibility Override: This setting allows you to manually control whether a specific Booking Status should be visible on the Diary screen. By default, all statuses are visible, but if a certain status is not relevant to your workflow, you can set its visibility to No to hide it.
- Clear: Completely clears all user-set overrides colour, font, stack order, and visibility for that particular Booking Status, reverting it to the system default.
💡 Please Note: User Entity Settings will always override Entity and Diary settings for the specific User.
- Click on the Save button to save your new Booking Status settings.
