Invoice Settings

Invoice Settings are used to customise how the Invoice works. Customising the Invoice allows you to configure it in a way that best suits the needs of the Practice. This allows you to Enable Discounts and add Actions that are triggered on Invoices when new appointments are made on the Diary and to set up Modifiers that will automatically apply. 

Dentists are also able to set Billing Codes that require a tooth number before the Invoice can be posted.

By taking the time to adjust Invoice settings, you ensure that the Invoicing process aligns with the operational goals of your Practice.

Entity Settings are set up per Entity and not per User to customise the program to the specific needs of the Practice. The Entity Settings will determine how functions are set up across each Entity.

  • The contents of this user manual will consist of the following information:
    • Enable Discounts
    • Invoice Action on New Appointment 
    • Apply Modifiers Automatically
    • Billing Codes - Mandatory Tooth Numbers
  • This user manual will start on the Invoice Settings panel.

Enable Discounts
The system will allow you to add a discount on an Invoice.

  • Tick the Enable Discounts checkbox to activate the setting. 


Please Note: A Discount field will be added to the Invoice where you are able to give a reduction on the price of the product or service.


Invoice Action on New Appointment
When a new appointment is created from the side panel of an existing booking (the original appointment), the new appointment will be linked to the current booking. This setting will generate an Invoice for the new appointment based on the selected option.

  • Click on the Invoice Action on New Appointment drop-down menu to select the desired option.



    • Always Create a Blank Invoice: No information is copied from the original appointment's Invoice.
    • Copy the Invoice Lines: The Invoice lines from the original appointment will be duplicated and opened for editing in the new appointment's Invoice.
    • Ask Which Lines to Copy: The system will allow you to select which Invoice lines from the original appointment's Invoice should be copied into the new appointment's Invoice.


Apply Modifiers Automatically
Modifiers that have been set up will apply automatically to the Invoice when the codes that have been set up with modifiers are billed.

Please Note: Modifiers can only be applied automatically on certain entities, such as Surgeons, Anaesthesiologists, Hospitals and Day Clinics. You can only apply modifiers automatically if there is more than one clinical procedure with the same code, for example, 0005.

  • Click on the Add Modifier button.


    • The Apply Modifiers Automatically section will open.


    • Click on the Code field to add the billing item to which the modifier should automatically apply, once billed.


    • Click on the Service Centre drop-down menu to select the relevant Service Centre to which this setting will apply.


Please Note: The Service Centres on the list are those that have been set up for your Practice. For more information regarding how to set up Service Centres, please refer to the user manual: Create a Service Centre.

Please Note: More than one Modifier can be added to the list by Clicking on the Add Modifier button as many times as needed.

  • Click on the Delete button to remove the Modifier from the list.




Billing Codes - Mandatory Tooth Numbers
Requires a tooth number on the specific Billing Code line on the Invoice before the Invoice can be posted.

Please Note: This feature is only available to dental entities.

  • Click on the Search Billing Code field to enter and search for the Billing Code where you require the tooth number to be mandatory.


  • Click on the desired code on the list that becomes available when searching. 


    • This code will then be added to the list of Billing Codes where a Tooth Number will be required before you are able to post the Invoice.


Please Note: You are able to add as many codes to the list as you desire.

  • Click on the Save button to save the new settings.
