Workflow Event Templates List
Why Use This Function:
This function is used to standardise and streamline the creation of common clinical and administrative events within the system. By using predefined workflow event templates you can save time, reduce manual entry errors, and ensure consistency across departments. These templates help maintain accurate records, improve communication, and support efficient Patient care by making sure the right information is captured in the right format every time.
- This user manual will start on the Diary screen
- Click on the Settings button.

- The Settings screen will open, click on Entity Settings.

- Click on the Workflow Event Templates panel.

- Click on the Choose event type to add template for... drop-down menu to open the Workflow Event List.
- Select a Workflow Event Template you wish to add.

- Click the Add template button to start editing the new template.

- Click the Import Template button to upload and use pre-built custom templates.
- Click the Save button to finalise and save your new custom template.

- CALL EVENT: The Call Event template is used in conjunction with the VoIP calling function. From this screen, you or the Practitioner can call the Debtor or Patient, access their account and personal details, view any outstanding amounts, and review notes recorded on the file.

- CONSENT FORM: This form is used for medical purposes to protect the hospital or surgeon from liability due to the inherent risks involved in a procedure. A Consent Form provides written permission from the Patient, confirming that they understand and accept the terms of the procedure or activity to be performed.

- CUSTOM: The Custom template setup allows you to create forms with custom questions that are tailored specifically to the preference of the Practitioner's needs. It is possible to add questions containing drop-down menus, checkboxes, radio buttons etc. The Practitioner can also add scoring to each question that allows them to make conclusions based on the answers received.

- DIALYSIS: The Dialysis template allows the Practitioner to efficiently capture and track all relevant clinical details for each dialysis session, such as fluid balance, vitals, medications administered, and session outcomes. This ensures consistent documentation, supports continuity of care, and helps monitor the Patient’s response to treatment over time

- DIALYSIS FLOW CHART: The Dialysis Flow Chart template allows the Practitioner to document and monitor the dialysis process in a structured, time-based format. It helps track key metrics such as blood pressure, fluid removal, and machine settings throughout the session. This ensures accurate, real-time recording, supports clinical decision-making, and provides a clear visual reference for ongoing Patient management.

- DISCHARGE FORM: The Discharge Form is used when a Patient is ready to go home, is transferred to another facility, or in the case of death, to formally discharge them from the bed. It records the admission and discharge times, refusal of treatment (if applicable), follow-up details, and any relevant notes.

- DISPENSE: The Dispense template is a form that a Practitioner will use to dispense medication to a Patient and allows the Pharmacist or responsible person to dispense the items to the Patient from within the Practice instead of issuing a prescription that the Patient will have filled at an external Pharmacy.

- DOCTOR NOTE: The main purpose of the Doctor Note is to document an entry into a medical or health record made by a Physician, Nurse, Lab Technician or any other member of a Patient's healthcare team. Accurate and complete medical notes ensure systematic documentation of a Patient's medical history, diagnosis, treatment and care.

- EMAIL: The Practitioner can use the email function to communicate with the Patient, Debtor, or another Practitioner. It can be used to send sick notes, examination results, Invoices, or other relevant documents. This function helps streamline communication while keeping a digital record for reference.

- EMR: The EMR Template ensures that vital information such as the Patient’s medical history and vital signs is captured quickly and consistently in emergency situations. It streamlines communication between nursing staff and Practitioners, reduces duplication of effort, and allows for faster clinical decision-making. With the key details already documented, the Practitioner can immediately focus on assessing the Patient and determining the appropriate treatment, saving valuable time when it matters most.

- EXAMINATION: A Examination template provides the ability to customise an Examination form according to the specific needs and focus areas of your Practice. This customisation ensures that only relevant fields and options are included in the form. - EYE EVAL: The Eye Eval template is used to document the results of various eye tests performed by the Practitioner. It allows for visual annotations on provided diagrams and supports image uploads from external sources. As the form is completed, billing codes are automatically added, enabling the Practitioner to bill the Patient seamlessly during the assessment.
