How to Capture Stock Values: First and Second Count


Why Use This Function:

Stocktaking is essential for managing inventory, controlling costs, and ensuring regulatory compliance. It helps maintain optimal stock levels, preventing shortages or excesses of critical supplies. Efficient stock management supports smooth operations and better Patient care, while also addressing issues such as theft or misplacement. Overall, regular stocktakes are crucial for maintaining a well-functioning healthcare environment.


The Contents of This User Manual:

  • First Count
  • Second Count


  • This user manual will start on the Capture Values screen.



First Count

The First Count sets a baseline by checking for differences between actual stock and recorded stock. If there are discrepancies, a second count is done to confirm before updating the records.


  • Click on the Enable/Disable Inline Editing button.


  • The First Count and First Count Packs fields will become available to edit.


    • Enter the desired information into the Editable fields.


💡Please Note: If all fields have not been counted, the First Count stage can not be completed.

  • Click on the Save button to save the changes made.


    • The First Count and First Count Packs fields will Save and return to normal.


  • Click on the Complete button to finalise the First Count stage.


    • A Notification will appear stating that the stock take has been moved to the Second Count stage.



Second Count

A Second Count in Stock Take is crucial for verifying discrepancies between the snapshot and the first count, ensuring inventory accuracy, detecting errors, and preventing fraud. This added verification step improves inventory management and supports reliable financial reporting.


💡Please Note: To do the Second Count, please repeat the steps mentioned in the above section.

  • After Completing the Second Count stage, navigate to the Variance Report tab to view a Report of the stock that has been counted.
