Stock Data: Global vs Per Entity

This setting determines how stock levels are managed across entities.

When viewing stock on hand in a specific entity (for example, Entity 1), the system can be configured to display either:

  • Total stock on hand across all entities linked to the same stock schema, or

  • Stock on hand for the selected entity only

If the intention is to display the combined stock levels for all linked entities, the setting should be configured as Per Stock Schema.

If the intention is to display only the stock levels for the current entity, the setting should be configured as Per Entity.

This configuration also directly affects:

  • Minimum stock levels

  • Maximum stock levels

  • Reorder quantities


Fixed Data (e.g. Active / Inactive)

This section controls the configuration-level attributes of stock items, including:

  • Active/inactive status

  • Stock type (e.g. non-stock, normal)

  • Force Combination

  • Default dispensing quantity

  • Claim code linking

  • Chargeable (Yes / No)

The key consideration is whether these attributes should apply globally or per entity.

For example:
If a stock item is marked as inactive in Entity 1, should it automatically be inactive in all other entities?

If the answer is yes, the corresponding toggle must be enabled to ensure the configuration is shared across entities.


Configuration Behaviour

In the Visiclin setup, multiple entities share the stock active status.
This means that if a stock item is marked as inactive in GOODX1, it is automatically set to inactive in all other linked entities.

However, stock levels are stored per entity.

As a result, the system cannot base the decision to deactivate a stock item solely on the stock levels of a single entity (e.g. GOODX1).

For this reason, the Set Stock Inactive process does not support this configuration model.

In newer system versions, this behaviour remains unchanged.


Notes Specific to the Mentioned Practice

In Visiclin’s case, the Fixed Data setting has little practical impact, as only one entity is linked to the stock schema.

Therefore, these items could be configured without enabling the fixed-data toggle, without affecting system behaviour.
