How to Print Counting Sheets - Per Counting Location

Why Use This Function:

When conducting a Stocktake, Counting Sheets are used to record the quantities of each item before entering the data into the system. These sheets can be distributed to multiple team members, who will count the stock listed on their respective sheets. Once completed, the sheets are returned to the Stock Controller, who inputs the data into the system.

Counting Sheets can be printed for each Counting Location, allowing you to focus on tracking inventory in a specific area of the warehouse. This helps streamline the stock-taking process and ensures accurate inventory management.

💡Please Note: In order to print a Counting Sheet, a snapshot will first need to be created in order for the Stock Take to appear on the Stock Take list screen. For more information on how to take a Snapshot, please refer to the user manual: Creating a Snapshot (Web App).

  • This user manual will start on the Stock Setup screen.

  • Click on the Counting Locations sub-tab.


  • The Counting Locations screen will open.


  • Click on the desired Counting Location for which you want to print Counting Sheets.


  • The Counting Locations sidebar will open.



Printing the Counting Sheets

Allows you to print the Counting Sheet.

  • Click on the Print Counting Sheets button in the Actions section.


  • The Print screen will open.


  • Click on the Print button to send the Counting sheets to the desired printer.



Information Printed on the Counting Sheet

The information displayed on the Counting Sheet gives all the information regarding the location of the items and what needs to be counted.



General Information

Information relating to the Counting Sheet.


  • Practice Details (Logo, Practice Name, VAT Number, Practice Number, Registration Number): Key information about the Practice.
  • Heading (Stock Take Counting Sheet): The title of the document.
  • User (Docspan): The name of the person who printed the document.
  • Warehouse (Warehouse): The Name of the Warehouse where the Stock Take was conducted. 
  • Category (Medicine): The Category to which the items belong that are on the Counting Sheet. Stock is divided into 2 categories namely Medicine and Materials.


Item Information 
The items that need to be counted will be divided into columns.


  • Identifier: The stock code that has been allocated to the specific item.
  • Description: The name of the item.
  • Pack Size: The number of individual items contained within a bulk container, which is collectively referred to as a pack.
  • Units: The number of individual units that have been counted.
  • Packs: The number of complete packs that have been counted. It is advised to count in units and, where there is a full pack, to convert the packs into units.


Additional Information
Other information printed on the page.


  • Print Date (Print Date: 2025-03-10 10:04:31): A date (yyyy-mm-dd) and time (hh:mm:ss) stamp that indicates when this Counting Sheet was printed.
  • Page Number (Page 1 of 1): Indicates the page number, and the total pages in the document which is the number of pages to be returned after counting.
