Trial Balance Report
The Trial Balance Report is an accounting report that lists the closing balances of the general ledger accounts. The balances of the ledgers are added to the debit and credit columns. The total of these two columns should match.
The Trial Balance report can be found in the Financial Module.
How to access the Trial Balance Report and Export it as an Excel sheet:
- From the Navigator >> click on Financial Reports
- The Financial Module will open.
- Click on 'Trial Balance' on the menu bar >> Select 'Complete Trial Balance (Calculated)'
Profile Options and Function
- The following Trial Balance Profiles will be loaded by default with new installations (Blank and NoName) unless the Practice asks for a specific report to be set up with installation.
- Select the correct profile (in this case Trial Balance Aug).
- Click on Print Direct to print the report directly to your printer without viewing the report.
or
- Click on Print to Grid to view the report in a grid format.
- Click on Close to exit the Trial Balance profile list.
Date Settings:
- Select the Timespan for Report.
TAKE NOTE: Tick the Default Date/Period block to default the report profile setup to the current financial year and period. The report will always default the current period and the financial year according to the computer date.
- Select the Financial Year.
- Select the From and To Period - The Trial Balance can only be pulled until a period or specific date and not between periods or between dates.
- Select the Type of Dates (From the beginning when the system was used until the date in this section).
- All dates - The financial period.
- To capture date - The date the transaction was captured on the system.
- To transaction date - The date the patient was treated and when the treatment took place.
- Click on 'Next' to continue to the Report.
- The 'Complete Trial Balance (Calculated)' report will open and display as follow:
Mail a View
- This option allows you to e-mail the current view on the screen.
- Click on Print to print the report.
- When clicking on Print the report will open in *pdf format. From here you have the option to E-mail, Print Preview, Save or Print the report.
Export
- Click on Export to export the report to Excel.
- After clicking on Export, a 'Save As' pop up will appear.
- File Name: Give the file a name. This will be the document name after saving it.
- Save as Type: This will be the type of document eg *pdf, Excel sheet etc. To save it as an Excel sheet, choose MS Excel under the 'Save as type'.
- Click on Save to save the Trial Balance report
- A confirmation pop up will appear to show that the Data on the Trial balance report was successfully exported into an Excel sheet.
- Click on Yes to open the sheet or No to close the pop-up.
- When you've selected Yes, the Report will open in the Excel sheet. See the example below:
