Last Visit Tab: Navigation and Use

 

The Last Visit tab provides a detailed Report of the most recent appointments for each Patient at the Practice. By accessing this tab, you can easily identify which Patients have not returned for follow-up visits within a specified time frame. This feature is particularly useful for identifying Patients who may require reminders to encourage them to schedule their next appointment, ensuring continuity of care and maintaining Patient engagement with the Practice.

  • This user manual will start on the Reports screen.


  • Click on the CRM tab.


  • The Build SMS/Email screen will open


  • Click on the Last Visit tab.


  • The Last Visit screen will open.



Filters

Filters are tools or functionalities that allow you to narrow down or refine the results displayed on the Last Visit Report screen.


  • Click on the Filter drop-down menu to select how the screen will be filtered.



Context Filter

Changes filter options to refine the information of the Report.


  • Click on the Patient Name field to enter the Name of the Patient.



  • Click on the Patient Surname field to enter the Surname of the Patient.



  • Click on the Patient ID No. field to enter the Identification Number of the Patient.


  • Click on the Patient Cell No. field to enter the Cellphone Number of the Patient.



  • Click on the Debtor Account Identifier field to enter the Debtor Account Identifier.



  • Click on the Patient Gender drop-down menu to select the desired Gender by which the list will be filtered.



  • Click on the From field to open a Date Picker, and Select from what Date the filtering search will start.



  • Click on the To field to open Date Picker, and Select the Date the filtering search will end.



  • Click on the Update Results button after all the filters have been set.


  • Click on the Reset Filters button to empty all filter columns.



Default Filter
Predetermined filters that will always be available to search with.



  • Click on the Patient Name field to enter the Name of the Patient.



  • Click on the Patient Surname field to enter the Surname of the Patient.



  • Click on the Patient ID No. field to enter the Identification Number of the Patient.


  • Click on the Patient Cell No. field to enter the Cellphone Number of the Patient.



  • Click on the Debtor Name field to enter the Name of the Debtor.




  • Click on the Debtor Surname field to enter the Surname of the Debtor.



  • Click on the Diaries drop-down menu to select the desired Diary by which the list will be filtered.
    • Tick the checkbox of the desired Diary.



  • Click on the Booking Types drop-down menu to select the desired Booking Type by which the list will be filtered.
    • Tick the checkbox of the desired Booking Type.


Please Note: More than one Booking Type can be selected.

  • Click on the Booking Statuses drop-down menu to select the desired Booking Status by which the list will be filtered.
    • Tick the checkbox of the desired Booking Status.

  • Click on the From field to open a Date Picker, and Select from what Date the filtering search will start.



  • Click on the To field to open Date Picker, and Select the Date the filtering search will end.



  • Click on the Show Only Future Bookings slider to show all past and future bookings.



    • Click on the Show Only Future Bookings slider a second time to include only future bookings.



  • Click on the Deleted slider to include/exclude Deleted bookings.


    • Click once to view Bookings that have been Deleted.


    • Click a second time to view Bookings that have not been Deleted.



  • Click on the Patient File No. field to enter the Patient File Number.



  • Click on the Debtor MA No. field to enter the Debtor's Medical Aid Number.



  • Click on the Update Results button after all the filters have been set.


  • Click on the Reset Filters button to empty all filter columns.



Column Options

Several additional Options are available for the Columns. These additional Options are to help the User adjust the Report, refine the Search and give more specific results.


  • Click on the Select All Results button to Select All Results on the filtered list.



  • Click on the Expand Widths button to auto-fit the Column Width to the information within all columns.



  •  Click on the Reset Widths button to restore the original Widths after any modifications were made.



  • Click on the Sort Columns button to sort the Columns in the order that you desire.


  • Click on the Choose Columns button to select the columns that will be displayed on the List.


  • Click on the Context Layout drop-down menu to select the type of layout that will be used for the screen.



Columns

All the information on the Last Visit Report screen is divided into Columns to logically group related information together.



  • An explanation will be given for each of the Columns:
  • Booking Date: The Date on which the Booking is scheduled.
  • Debtor Account Identifier:  The File Number of the Debtor.
  • Patient Name: The Name of the Patient.
  • Patient Surname: The Surname of the Patient.
  • Patient ID No.: The ID Number of the Patient.
  • Patient Cell No.:  A Mobile Number where the Patient can be reached by telephone.
  • Patient Email: An Email Address where the Patient can receive Emails.


Last Visit Report Sidebar

The Last Visit Report Sidebar lets you view the Patient's demographic and Medical Aid information. You are also able to send bulk SMSes and Emails to multiple Patients, as well as make necessary calls from the sidebar.



Bulk Actions

You can send the same SMS and Email to multiple Patients from the Last Visit Report List.


  • Tick the corresponding Checkbox to select the desired Patients on the Last Visit Report List, for whom you would like to send the same Correspondence.


  • Click on the SMS button to send the same Text Message to the selected Patients.


    • Please Note: All the Cellphone Numbers of the selected Patients will be lined up on the SMS - Workflow Event screen.

  • Click on the Email button to send the same Email to the selected Patients.


    • Please Note: All the Email Addresses of the selected Patients will be lined up on the EMAIL - Workflow Event screen.

Patient Information

When Clicking on a result, the Demographic and Medical Aid Information of the selected Patient will be displayed.


  • The fields will be explained below:
    • Patient's Details (MS ASTRID HOFFERSON): The Patient's Title, Name and Surname.
    • Gender, Date of Birth, Age ( ♀️ 1985-06-11 (39 years)): Patient's Gender, Date of birth and their Age.
    • Account Number and Patient's File Number (000001503 (PN00000046)): The Main Debtor's Account Number and the Patient's individual File Number.
    • Debtor Number (GPD15): A Debtor Number is autogenerated by the system and assigned per Patient.
    • File Number (FN00000040): The File Number which is created by the system automatically when the system's file was created.
    • ID Number (8506110000002): ID Number of the Patient.
    • Cellphone Number (0614074971): Cellphone Number of the Patient.
    • Email Address (DOCSPANGOODX@GMAIL.COM): Email Address of the Patient.
    • Medical Aid Provider, Option and Number (DISCOVERY / 000000021 / DELTA CORE CLASSIC ACUTE): The name of the Patient's Medical Aid, Plan and Plan Number.

Page Options

All the additional options that are available for the page.


  • Click on the Previous button to Navigate to the Previous Page.


  • Click on the Page Number button to Navigate to the desired Page.


  • Click on the Next button to Navigate to the Next Page.


  • Click on the Items drop-down menu to select the Number of items displayed on the screen.



Export

The Last Visit Report can be exported to a PDF or CSV file should you wish to Print or Save to your computer or open the form in an Excel or PDF format.

  • Once the desired bookings have been Selected, Click on the Export to PDF button to save the filtered results as a PDF file.


Please Note: In order to Export to PDF, a file should be selected.

  • Once the desired bookings have been SelectedClick on the Export to CSV button to save the Report in a CSV format.
