Refund to Patient/Medical Aid

Use this transaction when the Debtor/Patient or Medical Aid has overpaid the account.

  • Click on Transactions and select Payment to Patient / Medical Aid

Payment to Patient/Medical Aid

  • Select the applicable Cashbook (It must correlate with the original receipt)
  • Click OK or press F2


  • Select the Period in which this transaction should be posted
  • Click on OK or press F2

Level 1

Enter the following information in the fields provided:

  • Date
  • Transaction If the patient refund is not selected, please correct the selection.
  • Description: Why are you doing this patient refund.
  • Payment: this is the payment method you are going to employ.
  • the Reference No is utilised currently
  • Change the Bank statement Dt if required
  • Enter the Amount to be paid to the patient or medical aid.

Press the TAB key

Payment to patient

Level 2

  • Enter either the Case number or Debtor number or press the Tab key to search through the Debtor list.

Press TAB

  • Enter the Amount

Press TAB

  • Enter the Payment Method

Press TAB

Level 3

  • Select the correct invoice
  • The amount to be refunded will be reflected as a credit on the Invoice line
  • Enter the correct amount in the Received column next to the correct invoice

Press TAB

  • The Invoice line will turn bold
  • Click on Done or use the shortcut key F2
  • Click on Accept or
  • Click on Done (again)
  • Click on Accept (again)
  • Click on Exit
