How to Create a Credit Note



Credit Notes can be issued for a Full Invoice, a Partial Invoice, or a single line on an Invoice, typically to correct billing errors or inaccuracies.

Please Note: In some circumstances, Debtors/Patients can also receive a partial Credit Note if the full Invoice does not need to be Credited. 

  • This contents of this user manual will consist of the following information:
    • Creating a Credit Note on a Full Invoice
    • Creating a Partial Credit Note

  • This user manual will start on the Case Management screen.


  • Click on the desired Case for whom you wish to do a Credit Note.


  • The Case sidebar will open. 



  • The Hospital Case screen will open on the Case Account tab.


  • A list of All Financial Transactions will be displayed on the screen which were already processed.

Creating a Credit Note on a Full Invoice

Crediting a Full Invoice will allow you to generate an entire new Invoice. Credit Notes are done for various reasons, for instance in some cases Credit Notes are made out when wrong codes or lines have been Invoiced or when the Invoice was not entirely complete.

  • Double-Click on the Invoice Line you want to generate a Credit Note for.


  • The Invoice Line will expand, showing all the individual lines that were Invoiced.


  • Click on the Actions tab.


  • A Toolbar will appear with Action buttons to indicate the Actions that can be taken on an Invoice.


  • Click on the Credit Note button.


  • The Credit Note screen will open. 


    • Complete the Reason in the Reason field, as to why you wish to perform a Credit Note. 


    • Tick the Full Credit Note checkbox to indicate that the full Invoice needs to be Credited.


Please Note: Once the Full Credit Note checkbox has been ticked, all the Invoice Lines will also be checked, indicating that all the Invoice Lines will be credited.


    • Click on the Save button.



    • Click on the All button, to return to the All Transactions List.


    • The Credit Note will appear on the list of Transactions done on the Patient's Case.


Please Note: The Credit Note can also be seen on the Invoice screen, when you Click on the Invoices button.



Creating a Partial Credit Note

Partial Credit Notes can be done when only a certain line item needs to be removed from the Invoice. 

  • This section will start with the Invoice Lines screen.


  • Click on the Actions tab.


  • Toolbar will appear with Action buttons to indicate the Actions that can be taken on an Invoice.


  • Click on the Credit Note button.


  • The Credit Note screen will open. 


Please Note: To do a Partial Credit Note the Full Credit Note checkbox needs to be unticked.



    • Complete the Reason in the Reason field, as to why you would like to generate a Credit Note for. 


    • Tick the Full Credit Note checkbox.


    • All the Invoice Line checkboxes will also untick, indicating that each Invoice Line can be credited on their own.


    • Tick the Invoice Line you wish to Credit.


    • Click on the Save button.



    • The Invoice Line that has been Credited will now appear with a Zero Amount.


    • Click on the All button, to return to the All Transactions List.


    • The Credit Note will appear on the list of Transactions done on the Patient's Case.
