How to Make a Theatre Booking



Why Use This Function:

Theatre Bookings inform Practitioners about their scheduled operations and procedures, providing crucial details such as the date, time, location, staff involved, procedure specifics, and Patient information. Creating a Theatre Booking allows you to reserve specific times in your Diary for Theatre procedures, ensuring your schedule is organised and you are fully aware of your upcoming operations.

💡Please Note: Before a Theatre Booking can be made, a Theatre List first needs to be created that will indicate which parts of your day are set out for Theatre procedures. For more information on how to create a Theatre List, please refer to the user manual: How to Create a Theatre List.

  • This user manual will start on the Diary screen with a Theatre List loaded.


  • Double-click on a Timeslot that is highlighted.


  • The Operation screen will open.
    • Complete all the relevant details of the Operation.


  • Once the Operation has been saved, it will be displayed on the Diary.


  • An explanation will be given for each field and option on the Theatre Booking entry:


  • Timeslot: The time over which the booking spans.


  • Patient Details: The surname, initials, full name, age and Medical Aid details of the Patient.


  • Anaesthesiologist Details: The title, initials surname and contact number of the Anaesthesiologist.


  • Procedure Description: The type of Operation the Patient has been booked for.


  • Notes: Any additional information that you added to the Operation.


  • Booking Icons: Helps determine the status of a Patient's file, account, documents, switch information etc. It allows staff to quickly identify what has been completed and what is still outstanding for a booking. This ensures that all necessary actions are taken and no important details are overlooked. For more information, please refer to the following user manual: Booking Icons Explained.

  • Click on the Est button to create a cost estimate for the procedure that has been booked.


    • The Cost Estimate Actions screen will open.


  • Click on the Patient Consent button to manually upload and send a consent form to the Patient.


    • The Patient Consent (Manual) Actions screen will open.



  • Click on the Authorisation button to mark that Authorisation was obtained. 


    • For more information regarding how to load Authorisation codes on an Operation, please refer to the user manual: Operation Details.

💡Please Note: The Authorisation button will automatically change to green, once authorisation codes have been loaded.

  • Click on the Managed Care Consent button to send the consent form to the Patient.


    • The Consent Form - Actions screen will open.

  • Click on the Custom form button to send the specific form to the Patient.


💡Please Note: You are able to choose which of your Custom and Consent Forms you want to display on the Theatre booking to send to the Patient. For more information regarding how to set this up, please refer to the user manual: How to Set up the Theatre Manager.

    • The Custom - Actions screen will open.


  • Click on the Delete this Operation button to delete the Operation from the Diary and the Theatre List.
