How to Create a Theatre List
A Theatre List is a schedule that helps Surgeons plan and organise their booked surgical procedures. The information on a Theatre list will advise the Surgeon, who the Patient is, what procedure will be performed, the length of the procedure, the details of who will be assisting with the procedure, and the details of the Anaesthesiologist. A Theatre List is created to ensure that the Surgeon is able to coordinate their schedule accordingly, by making bookings on the Diary specifically for Operations.
Please Note: The Theatre Manager will need to be enabled before a Theatre List can be created. For more information, please refer to the user manual: How to Set up the Theatre Manager.
- This user manual will start on the Diary screen.
- Click on the Theatre Manager tab on the Navigation bar.

- The Theatre Manager screen will open.
- For more information regarding the Theatre Manager screen, please refer to the user manual: Theatre Manager: Navigation and Use.
- Click on the Add Theater List button to add a new Theatre List.
- The Theatre List - Workflow Event screen will open.
- An explanation will be given for each field that needs to be completed:
- Click on the Diary drop-down menu to select the Diary on which the Theatre List will be created.
- Click on the Date field to select the day on which the Theatre List will be created from the Date Picker that will become available.
Please Note: The Date will by default be set to the current Date.
- Click on the Start Time field to select a Time that the Theatre List will begin.
- Click on the End Time field to select a Time that the Theatre List will conclude.
- Click on the Hospital/Facility field to Enter the name of the Hospital/Facility where the Theatre Bookings will be taking place.
- Alternatively, Click on the + button to add the Facility of your choice.
- The Attention! screen will open where the desired Facility can be added from a list of preset-up options or you can add it from an external source, which will allow you to choose a Facility from Medibase.
- The Surgeon panel will be automatically filled in with the details of the default Surgeon at the Practice.
- Click on the Remove button to delete the current Surgeon.
- Click on the Surgeon panel to review and confirm that the information is correct.
- Click on the + button in the Anaesthesiologist field to add the details of the Anaesthesiologist that will be linked to this Theatre List.
- The Attention! screen will open where the Anaesthesiologist can be added.

- Once the Anaesthesiologist has been added their details will appear in the Anaesthesiologist panel.
- Click on the Anaesthesiologist panel to review and confirm that the information is correct, and make changes, if the need arises.
- Click on the Referring Doctors Search Filter field to add the details of the Referring Practitioner. Only 1 character is needed to start the search.
- Click on the Delete button to remove the Referring Practitioner from this Theatre List.

- Click on the Select an Assistant to Add drop-down menu to select a Practitioner who will assist with the procedures.
- Click on the Delete button to remove the Assistant Practitioner from this Theatre List.
Please Note: When a member of the Surgical team's email address is added, they will get an email automatically syncing them to a grandXchange Theatre List even if they aren't a GoodX client.
- Click on the Complete button to complete the Theatre List Workflow Event.
- The Complete button will change colour to green to indicate the Theatre List Workflow Event is Complete.
- Click on the Save button to save the Theatre List.
- The Theatre List will be added to the Theatre List screen.

- Click on the Diary tab on the Navigation bar.
- The Timeslots of the Theatre List has now been marked on the Diary, where Theatre Bookings can be made.
