Date

The Date is the Time and Day stamp of the transaction or work that was done. Dates are important to draw the correct reports and financial details.

The date is also important to claim from the medical aid.

There are 3 types of dates in GoodX.

  • Transaction date
  • Capture date
  • Financial period

Please refer to the different date types for more information.


Date submitted

The date submitted on the Claim history screen is when the claim was sent to the medical aid.


Debtor & Patient Documents

Debtor & Patient Documents are securely stored in the respective Debtor or Patient file and play a crucial role in maintaining accurate and comprehensive records for the Practice. These documents ensure compliance with legal and administrative requirements while facilitating efficient Patient management. Examples of such documents include a valid Medical Aid card for verification of benefits, an Identification Document to confirm the Patient’s identity, signed Terms and Conditions outlining the agreement between the Practice and the Patient and/or Debtor, and Consent forms required for medical procedures or data sharing and any other relevant documentation that you require.

Debtor Demographic Syncvite

Debtor Demographic data refers to all of the debtors' personal information, such as their Name, Surname, ID number, Telephone Number and Address etc. A SyncVite is an invitation that the practice sends the patient asking them to share their personal information. The patient has the choice if they would like to share certain information with the practice. The practice can also use the SyncVite feature to allow the user to update and edit the information that is currently on the practice's database. A SyncVite can be sent with every booking to ensure that the patients' information is correct and up to date.



Debtor Drilldown Report

The Debtor Drilldown Report is a detailed financial Report which gives an overview of all transactions on the system within a specific timespan, on specific accounts, and types of transactions, using specific selected groupings and filters to customise the Report to the information you want to see.

Debtor Information

The Debtor Information is the demographic information from the Main Member or the person responsible for the payment of the account. Demographic information is information that contains personal information of the debtor or patient such as Full name, Surname, Identification number, Contact number, Address and Medical Aid details.

Debtor Journals: Batch screen

The Journals Batch screen will allow the user to do the same type of journal on multiple debtors before posting the journals, building a batch and then post. 

Reasons for journals:

  • Small balance writes off. (Example: Writes off amounts under R20.00 )
  • Settlement Discount. (Example: Give patient R200 discount for settling the account.)
  • Bad Debt. The outstanding amount that is not collectable from the patient can be written off as Bad Debt.

Debtor Label

The Debtor Label is a sticker with the Main Member demographic information on. The sticker can be stuck on to the file with the account number.


Debtor List

A list with all the demographic information of the Main Members and Dependants on the system. A lot of different functions can be completed or accessed from the list.

Debtor Search

Providing a search function that searches your Desktop or Web App for Debtors is a design strategy that offers users a way to find content (such as Debtor or Patient demographic information). The search function makes it easier for users to locate and access Debtors or Patients instead of having to scroll through the list especially if it's a big Practice with a lot of Debtor files.
