Setting up Time Billing Codes with Fixed Prices

Setting up Time Billing Codes with Fixed Prices allows Practices that are signed up for Discovery Global Procedure fee Billing to create and manage the way how certain fixed fee codes will act when billed. 

  • The contents of this user manual will consist of the following information:
    • Step 1: Create New Billing Codes
    • Step 2: Alter Prices
    • Step 3: Debtor Statistics Report 
Billing Codes which have been added: 
  • Anaesthetic Fixed PriceBilling of pre-agreed Anesthesiologist's time. After billing, the billing code behaves in the same way as an Anaesthetic code (0023) and the minutes are included in the Anaesthetic Statistics. An invoice which contains the previously mentioned type of billing code is considered an Anaesthetic Case. The Billing Code should always be set up for unit type = 3. In this user manual, as an example, the billing code JBMOD (Joint Benefit Modifier) will be used.  
  • Fixed Price Time Billing Code: Billing of a pre-agreed price which requires submission of a start- and end time. The billing code will not be included in the Anaesthetic Statistics, regardless of the unit type. In this user manual, as an example, JBANA1 (Joint Arthroplasty) will be used. 

Please Note: The Anaesthetic Fixed Price (JBANA1) and Fixed Price Time Billing Code (JBMOD) will always be used together, as one indicates the Procedure price and the other one represents how long the procedure was.

Both Code Types act as their own line Billing Codes with a fixed price. The procedure's start and end times are prompted and the times and number of minutes are posted.

The number of minutes billed is reflected in the quantity field but is not used to calculate the price charged for the tariff. Example: Predetermined procedure price = R100.00 - will be charged regardless of how long the process took.

The times and minutes are printed on the statements and submitted to the Medical Aid.

Please Note: No tariff codes of the above-mentioned types will currently be rolled out in the official GoodX price lists. They must be set up locally on each Practice's system and maintained manually.

Step 1: Create New Billing Codes 
Add new billing codes according to the specification. 

  • Step 1 will start on the List of Tariff Codes (): Maintain List screen.
    • Create two new Billing Codes in the Desktop App and add the codes to all the price lists:
    • Code "JBANA1", Type "Anaesthetic Fixed Price"
      • Code "JBMOD", Type "Time Billing Code" 



Step 2: Alter Prices
Edit the prices of the Anaesthetic Fixed Price (JBANA1) code and copy the changes to several other Pricelists as they desire.

Please Note: Users will only need to make changes once, and are then able to copy the changes which have been made, over to several other Pricelists as they desire, in order to use the new codes on several Priceslists.

  • Step 2 will start on the BHF Tariff Input screen.
    • Alter the price of JBANA1 in the first price list.
    • Set a Balanced Billing price, and copy changes to multiple price lists as desired. 
    • Ensure the Unit Type is set to 3 - Anaesthesiologists.

Step 3: Debtor Statistics Report

A Debtor Statistics Report allows a user to set up and print a report with certain information regarding specific statistics of the debtor, such as summarised transactions per turnover, cash flow and journals. Draw the Debtor Statistics report in the Financial Reports module to see the Anaesthetic Statistics.

  • Step 3 will start on the Statistics Report screen, Report Parameters tab.
    • The Parameters should be set up as follows:


      • Set the Timespan for the report to Between Capture Dates (today).


      • Tick the Anaesthetic Statistics checkbox to include the Anaesthetic statistics in the report.


      • Select the Print Total radio button in the Turnover section.


    • Draw the report after the Parameters have been set.


      • Pay attention to the Anaesthetic Cases and Anaesthetic Minutes columns after the report has been generated to see the total number of Anaesthetic Cases and Anaesthetic Minutes which have been billed on the system. The data in the columns will change depending on which one of the new codes has been billed.
