Debtor Transaction Groups

Debtor Transaction Groups will allow the user to manage the settlement discounts of a certain group of Debtors with the rules that have been set up for that specific group. Debtors will be allocated to a specific Transaction Group, which determines what settlement discount the Debtor qualifies for.

Before a user is able to use Debtor Transaction Groups, the feature will first need to be activated in System Options. For more information, please refer to the user manual: System Options: Debtor Transactions.

  • The contents of this User Manual will consist of the following information:
    • Add New Debtor Transaction Group 
    • Edit Existing Debtor Transaction Group

  • Log in to the GoodX Desktop using your GoodX username and password.
  • From the Navigator Double Click on the MedDebs Module.


  • The Debtor Manager screen will open

  • Click on Lists on the Menubar.


  • Click on Debtor Transaction Groups on the sub-menu.


  • The Debtor Transaction group screen will open.


Please Note: All the Transaction Groups that have been set up will appear on the Debtor Transaction group screen.


Add New Debtor Transaction Group
Allows the user to set up new Transaction Groups for Debtors, which will allow the user to categorise Debtors according to the settlement discount that the user would like the Debtor to qualify for.

  • Click on the + button to add a new Transaction Group


  • The Debtor-transaction Group Input screen will open.


  • An explanation will be given for each option and field on the screen: 


    • Code: A unique abbreviation to identify the Transaction Group.


    • Afrikaans Name: The name and/or description of the Transaction Group in Afrikaans.


    • English Name: The name and/or description of the Transaction Group in English.


    • Inactive: Allows the user to deactivate the Transaction Group when the group is no longer in use.
      • Tick the Inactive checkbox to mark the Transaction Group as inactive.


    • Settlement Discount %: The percentage of discount that will be applied should the Debtor settle the account within a specific time frame.


    • Settlement Discount Days: The amount of time in days that the Debtor will have to settle their account in order to qualify for a discount.


    • Auto post journal with invoice: A journal will be posted automatically once the user settles their account within the allocated time frame.
      • Tick the Auto post journal with invoice checkbox to allow the system to auto-post journals for settlement discounts.
  • Click on the Cancel button to close the screen without saving and return to the Debtor Transaction group screen.


  • Click on the Ok button to save the Debtor Transaction Group that has been set up and return to the Debtor Transaction group screen.


    • The new Debtor Transaction Group will be added to the list.



Edit Existing Debtor Transaction Group

Allows the user to make changes to a Debtor Transaction Group that has been previously set up.

  • Click on the desired group that the user would like to make changes on, to make a selection.


  • Click on the Edit button to make changes to the selected Transaction Group.
 

  • The Debtor-transaction Group Input screen of the selected group will open to enable the user to make changes.


  • Click on the Cancel button to close the screen without saving the changes that have been made and return to the Debtor Transaction group screen.


  • Click on the Ok button to save the changes that have been made and return to the Debtor Transaction group screen.
