Understanding the use of Booking Event Template Setup

A clear understanding of the Event Template setup, allows the Practice to configure how the predefined SMS and Emails Event Templates are used in the most sufficient way. Booking Event Templates ensure that the communication between the Practice and Patients is convenient to use and automated as far as possible, to save time on administration.

Please Note: Examples and Default setup scenarios are available for users to determine the set-up that will best suit the need of the Practice. There are different levels when setting up Booking Event Templates so that the user can choose how specific the criteria will be, for sending out an SMS or Email when a booking is made.

Please Note: Only one template of the same event type can be set up per level.

  • Log in to the GoodX Web App with your GoodX username and password.
  • The Diary screen will open. 


  • Click on the Settings button in the top right corner.


  • The Settings screen will open.


  • The Event Template Setup is done in 3 levels: 
    • Level 1 - Entity Settings: Booking Event Templates 
    • Level 2 - Diary Settings: Booking Event Templates
    • Level 3 - Booking Type: Templates



Please Note: Certain levels will cause overrides on one or more of the other levels. This is done to ensure that multiple of the same events aren't sent at the same time. Users need to understand the complexity of each level and what happens when the setup is done in a specific way.

Level 1 - Entity Settings: Booking Event Templates
Entity Settings are set per Entity to customise the program to the specific needs of each Entity. The Entity Settings will determine how functions are set up and work per entity. Settings will apply to all diaries that have been set up on the entity.

  • When a Booking Event is set up per Entity the event will occur Globally over all diaries. This set-up is the least specific.

Please Note: Level 1 will always be overridden by all higher levels.


Level 2 - Diary Settings: Booking Event Templates for All Bookings 

Diary Settings are set per Diary to customise the Diary Module to the specific needs of the Practitioner. If a Practice has multiple Diaries, every Diary and the Diary Settings need to be set up for that specific Practitioners needs. 

  • When Booking Events are set up per Diary, the events will take place whenever a booking is made on the specific diary where the event was set up.

Please Note: Level 2 (Diary Settings - Booking Event Template Setup) will always override Level 1 (Entity Settings). All overridden events will send send on Level 2.



Level 3 - Diary Settings: Booking Event Templates per Booking Type

Booking Types are set up to determine what the Patient is at the Practice for. Users are able to set up booking types that best suit the needs of the Practice and the Practioners' speciality. 

  • When Booking Events are configured per Booking type, the events will only take place when the corresponding booking type is scheduled on the diary.

Please Note: Booking Event Templates per Booking Type will always override the setup on Level 1 and Level 2 for the same type of event. The overridden events will send on Level 3.
