How to Verify Patient Bookings From the Diary

Verifying a Patient's identity upon arrival for a booking ensures the accuracy of medical records and enhances patient safety by preventing mix-ups and errors. It helps comply with legal regulations, prevents fraud, and facilitates efficient billing and Medical Aid processing.

  • The contents of this user manual will consist of the following information:
    • Patient and Basic Account Information
    • Verify Patient
  • This user manual will start on the Diary screen.


  • Click on the booking of the desired Patient.


  • The Diary sidebar will open.


  • Click on the Verify Patient button.


  • The Verify Booking Patient screen will open.



Patient and Basic Account Information

The Patient's demographic and Medical Aid information that was added to their file when first arriving at the Practice will be displayed at the top of the sidebar. Additionally, the standing of their account will also be shown, displaying both Patient and Medical Aid outstanding amounts.


  • An explanation of the Patient Demographic Information will be given:  

    • Patient's Details (MR TIMOTHY TURNER): The Patient's Title, Name and Surname.
    • Gender, Date of Birth, Age (♂️ 1996-12-28 (27 years)): Patient's Gender, Date of birth and their Age.
    • Account Number and Patient's File Number (000002802 (PN00000041): The Main Debtor's Account Number and the Patient's individual File Number.
    • Account Identifier, File Number and Status GPD28 (FN00000035) (Normal): File Number generated automatically when the system's file is created.
    • ID Number (9612286000000): ID Number of the Patient.
    • Cell Number (0825638359): Cellphone Number of the Patient.
    • Email Address (KARA@GOODX.CO.ZA): Email Address of the Patient.
    • Medical Aid Provider, Option and Number (BESTMED / 712345 / PACE TWO ACUTE): The Name of the Patient's Medical Aid, Plan and Plan Number.


Verify Patient

Verifying a Patient booking allows you to maintain up-to-date record and improve the accuracy of Patient identification and prevent fraud.


  • Click on the Select a Reason... drop-down menu.


    • Select the relevant option.


  • Click on the Save button.


  • The Booking has now been Verified.


Please Note: If verification has not occurred, the Verification icon will remain red.
