Stock Usage - Calculations and Layout
Why Use This Function:
The Stock Usage Report gives an overview of the total amount of Stock used for a specified period. This report is essential for managing inventory, ensuring that necessary medical items are always available when needed, and preventing overstock or shortages. This report can also indicate slow-moving stock allowing you to see the items are not selling or being used.Layout and Calculations give explanations of the data that is available on a financial report.
When Reports are generated the data is divided into columns. The information within each column will relate to the header. The data is generated from the Settings and Parameters that the user has set up.
Each financial report has calculations which is a mathematical equation used to determine the values that appear on the report.

Layout
How the data on the report will be arranged and the information regarding the contents of the report.- The data that is on the report will be divided into columns.
- System Code: A unique identifier for the item or product, used to track and manage it.
- Barcode: The Barcode number that is used to scan and identify the item quickly.
- Code: A short reference used to identify an item within a system.
- Item Description: A detailed explanation or name of the item, providing a clear understanding of what the product is.
- Units on Hand: The quantity of the item currently available at the Practice.
- Units Sold: The total number of units of the item that have been sold over a specific period.
- Pack Size: The number of individual units contained in a single pack of the product.
- Packs Sold: The number of packs of an item that have been sold.
- Sales: The amount of revenue the items have brought in from sales.
- Sales Average Unit: The average price at which a single unit of an item is sold.
- Cost of Sales: The total cost to produce or acquire the item including production, shipping, and material costs etc.
- Cost Per Unit: The amount it cost to purchase one unit of the item.
- Gross Profit (%): The percentage of profit or loss from the sale of the item.
- Gross Profit (R): The total amount of profit made or loss incurred from selling the item.
- Schedule: The classification that has been assigned to the item with a schedule according to the Health Council.
- Sales Price: The price at which the item is sold to customers.
- Current Avg. Unit Price: The average price for which an item is currently being sold, based on recent sales data.

Colour Indications
Colours are assigned to the Gross Profit % data as a quick visual indicator to show whether an item is generating a profit. Each colour represents a different profit range, helping you instantly see if the item is profitable or not.- 🔴Red: If the value is less than or equal to -10, a loss is being made on this item.
- ⚪White: If the value is between -9 and 9 (inclusive), it shows the item is making less than a 10% profit or loss.
- 🟢Green: If the value is greater than or equal to 10, a profit is being made on the item.
Calculations
The criteria used to determine the totals on the report.
💡Please Note: The totals will correspond to each column. For example, the total that correlates to the Sales column will be a calculation of all the Sales that have been made in the specific period of the report.- Each Line will be added together to calculate the Total of each column.
