Finalised Date Age Analysis Report: Layout and Calculations

The Finalised Date Age Analysis is a report which indicates all the amounts that are still outstanding or have not been paid yet, after the Hospital Case has been finalised. The data that appears on the report will be determined by the Settings and Parameters that the user has set up and selected when the Report was set up. For example, data available on the report includes: Total and Current outstanding amounts for Patient and Medical Aid over different time periods such as 30, 60, and 90 days etc. 

Layout and Calculations give the user explanations of the data that is available on a financial report.

When reports are generated the data is divided into columns. The information within each column will relate to the header. The data is generated from the Settings and Parameters that the user has set up.

Each financial report has calculations which is a mathematical equation used to determine the values that appear on the report.

Layout
How the data on the report will be arranged and the information regarding the contents of the report.

  • The data that is on the report will be divided into columns. 


    • An explanation will be given for each column:
      • Case no: A unique system-generated number that identifies the Patients admission to the Hospital. 
      • Admission date: The day, month and year (dd-mm-yyyy) and the time (hh:mm:ss) when the Patient was admitted to the Hospital.
      • Discharge date: The day, month and year (dd-mm-yyyy) and the time (hh:mm:ss) when the Patient was released from the Hospital.
      • Finalised date: The day, month and year (dd-mm-yyyy) and the time (hh:mm:ss) when the Hospital case was completed.
      • Patient name: The full names, surname and title of the Patient who was admitted to the Hospital.
      • Accno: The debtor number of the person who is responsible for the payment of the account.
      • Case Doctor: The main Practitioner who was responsible for the case.
      • Scheme name: The name of the company with which the person that is responsible for the account has medical insurance or Medical Aid.
      • Option name: The name of the Medical Aid plan corresponding to the Medical Aid of the person who is responsible for the account. 
      • Balance: The total amount that is outstanding on the account.
      • Current: The amount that is currently due on the account.
      • 30 days: The amount that is outstanding over a 30-day period.
      • 90 days: The amount that is outstanding over the last 90 days.
      • 60 days: The amount that is outstanding over a 60-day period.
      • 120 days: The amount that is outstanding over the last 120 days.
      • 150 days+: The amount that has been outstanding for 150 or more days.
      • ICD10: The International Classification of Diseases code for the diagnosis of the Patient.
      • CPT4: The codes that identify what procedures the Patient has been admitted to the hospital for.
      • Case Status: The stage of the case, for the Finalised Date Age Analysis Report the status of the case will always be finalised. When a user is done with the case, the case will be marked as finalised. The system automatically recognises cases that have been marked as finalised in order to generate the report.
      • EDI Status: The stage of the Electronic Data Import.
      • Case Procedure: The name or description of the procedure for which the Patient was admitted to the hospital for.
      • Per diem: An indication of whether the case is a Per Diem case or not. Per Diem is a fixed amount that is paid for the entire case, depending on the procedure that the Patient was admitted for. The Medical Aid will negotiate a special fixed fee for certain procedures. 
      • Credit Controller: The Company or Individual who manages and is responsible for collecting debt and ensuring payments come in on time. The Credit Controller is only responsible for the debt of the case and not all the debt of the Patient. 
      • Credit Control Status: The stage that the case is in, within the Credit Control process.

View

  • Click on View on the menubar.

 

  • The View menu will open.


    • Click on Expand/Collapse to open the sub-menu.


      • An explanation will be given for the options that are available:


        • Expand: Extends/opens all the sections that have been closed to display the data within.
        • Collapse: Closes all the open sections to hide all the information within all the sections.
    • Click on Apply Best Fit to Columns to adjust the display to show the full contents of each column. 



Calculations 

The criteria used to determine the totals on the report.

  • Totals: The total of the report will be the sum of all the categories that are added together which gives the Practice an indication of how much is outstanding on finalised cases in a specific time period.


Please Note: The totals will correspond to each column. For example, the total that correlates to the Balance column will be a calculation of all the cases which have a Balance outstanding.

  • Each Line will be added together to calculate the Total of each column.


Please Note: The Lines are indicated with a blue frame and the Total of the column with a red frame.
