Why Use This Function:

Year-end ensures financial information is finalised accurately for the selected Financial Year and prevents further changes to historical data. Completing the year-end process allows you to close off Entities correctly, carry balances forward, and generate essential financial reports with confidence. Running the relevant reports enables you to confirm that Debtor balances, transactions, and totals are correct and fully accounted for. These verified reports provide reliable information for accountants, auditing, review, and statutory submission, while also allowing you to securely store, share, or reference financial records when needed for future financial planning and compliance within your Practice.

  • This user manual will start on the Navigation screen.


  • Double-click on the GoodX Manage field.


  • The GoodX Manager screen will open.



Year End

Year-end finalises financial information for the selected Financial Year and ensures all data is accurate and complete. Running year-end and related reports allows you to confirm balances, review Debtor activity, and provide verified financial information to accountants for auditing, compliance, and record-keeping purposes within your Practice.

  • Click on the Multiple Year Updates button.
 

  • The Year-end process screen will appear. Choose the Financial Year that you want to close.


?Please Note: The red-highlighted entities have recently had a year-end done and can not be done again until the next year-end.

  • Click on the Select drop-down and select All if you want to do multiple Entities at once, or tick only the entities that you want to run the Year-end for.


  • Once the Entities have been selected, click on the Run Year-end Process button at the bottom of the screen.


  • A Confirm screen will appear. 


  • Click on the Yes button if the Year-end process can be done.


  • Click on the Cancel button to exit without doing the year-end process.


  • If clicked yes, an Information screen will appear to tell you that the year-end process is completed.


  • Click on the OK button to continue.


?Please Note: You can export the Year End to an Excel sheet or Print to a pdf if needed.


Reports

Year-end reports provide a complete and accurate summary of financial activity for the closed Financial Year. Sending these reports to your accountants ensures that balances, Debtor transactions, and financial positions can be reviewed, verified, and reconciled correctly. Accurate reports support compliant financial statements, streamline tax and audit processes, and help maintain clear financial records for your Practice.

  • Return to the Navigation screen.


  • Double-click on the Financial Reports field.


  • The Financial Reports screen will open.



Debtor Transaction Drilldown

  • Click on the Debtors tab for a drop-down menu to become available.


  • Click on the Debtors Transaction Drilldown option.


  • The Debtor Transaction Drilldown (Daily Report) screen will open.


  • Select the Noname option.


  • Click the Print to Grid button.


  • The Timespan for the Report screen will open.


  • Click on the Year field and input the year you are doing the Financial Report for.


  • Click on the From Period drop-down menu and select 0.


  • Click on the To Period and select the last date available.


  • Tick on the All Dateoption in the Date section.


  • Click on the Next button.


  • The Debtors Transaction Drilldown Report screen will open.


  • Click on the Mail All Views button.


?Please Note: You can select a single report and click the Mail a View button to save the single view.


  • Your File Explorer will open, where you can save the report as an Excel file to mail the folder.


  • Click on the Save button.


  • The Email screen will open.


?Please Note: You can directly email your reports to the desired person from this screen or email them later, as they are already saved in your files.

  • Click on the Exit button once you emailed or saved the desired reports.



Age Analysis Report

  • Click on the Debtors tab for a drop-down menu to become available.


  • Click on the Age Analysis option.


  • The Age Analysis screen will open.


  • Select the Noname option.


  • Click the Print to Grid button.


  • The Timespan for the Report screen will open.


  • Click on the Year field and input the year you are doing the Financial Report for.

  • Click on the To Period and select 0.


  • Tick the All Dateoption in the Date section.


  • Click on the Next button.


  • The Age Analysis screen will open.


  • Click on the Mail All Views button.


?Please Note: You can select a single report and click the Mail a View button to save the single view.


  • Your File Explorer will open, where you can save the report as an Excel file to mail the folder.


  • Click on the Save button.


  • The Email screen will open.


?Please Note: You can directly email your reports to the desired person from this screen or email them later, as they are already saved in your files.

  • Click on the Exit button once you emailed or saved the desired reports.


Trail Balance Report

  • Click on the Trail Balance tab for a drop-down menu to become available.


  • Click on the Complete Trail Balance (Calculated) option.


  • The Complete Trail Balance (Calculated) screen will open.


  • Select the Noname option.


  • Click the Print to Grid button.


  • The Timespan for the Report screen will open.


  • Click on the Year field and input the year you are doing the Financial Report for.

  • Click on the From Period drop-down menu and select 0.


  • Click on the To Period and select the last date available.

  • Tick the All Dates option in the Date section.


  • Click on the Next button.


  • The Complete Trail Balance (Calculated) screen will open.


?Please Note: The total balances at the bottom of the report of the Credit and Debit should be exactly the same to the cent. In the case where the amounts differ, please contact your allocated support person.

  • Click on the Mail a Views button.


  • Your File Explorer will open, where you can save the report as an Excel file to mail the folder.


  • Click on the Save button.


  • The Email screen will open.

  • Click on the Exit button once you emailed or saved the desired reports.


Stock Report
This report is only applicable if your Practice does a Stock Take.

  • Return to the Navigation screen.


  • Double-click on the Stock field.


  • The Stock Manager screen will open.


  • Click on the Reports tab for a drop-down menu to become available.


  • Click on the Stock Movement Per Period option.


  • The Choose a Profile screen will open.


  • Select the Noname option.


  • Click the Print to Grid button.


  • The Timespan for the Report screen will open.


  • Click on the FinYear field and input the year you are doing the Financial Report for.

  • Click on the From Period drop-down menu and select 0.


  • Click on the To Period and select the last date available.

  • Click on the Next button.


  • The Stock Movement Summary screen will open.


  • Click on the Mail a Views button.


  • Your File Explorer will open, where you can save the report as an Excel file to mail the folder.


  • Click on the Save button.


  • The Email screen will open.
