Why Use This Function:

Sending a WhatsApp directly from the system allows your Practice to communicate with a Patient or Debtor in a modern and efficient manner. Digital messaging ensures that important clinical or financial information reaches the recipient instantly on a platform they use daily. Effective use of automated templates helps maintain a professional standard while saving time for your staff and improving the overall experience for every Dependant or person responsible for the account.

💡Please Note: The WhatsApp button and functionality should be enabled and set up for your Practice, to set up the function for your Practice, please contact your dedicated FCL.

  • This user manual will start on the Diary sidebar.

  • Click on the WhatsApp button.

💡Please Note: The WhatsApp button and functionality should be enabled and set up for your Practice, to set up the function for your Practice, please contact your dedicated FCL.

  • The WhatsApp- Add/Edit Workflow Event screen will open.

  • Click on the Contact Number field to select the desired contact number. Alternatively, you can type the number in manually.

  • Click on the Type drop-down field to select the WhatsApp type you wish to send.

Template

Selecting a template allows you to send pre-defined messages that maintain consistent communication standards for your Practice. Such templates automatically populate specific details to ensure accuracy and professionalism.

  • Click on the Template Name drop-down field to select a desired WhatsApp Template.

💡Please Note: The Templates for a message are set up based on your Practice. For more information on how to create a Template, please refer to the user manual: Navigating the Build SMS/Email Tab.

  • Click on the Language drop-down menu to select your desired language.

  • Click on the Header field to input the subject of your message.

  • Click on the Body field to type out the message you wish to send to the Debtor/Patient.

  • The Message will display in the Preview section for you to view before sending.

  • Click on the Save button.

Text 

Manual text entry provides your Practice with the flexibility to send personalised, once-off messages to a Patient. Entering custom text ensures that unique situations or specific clinical instructions are communicated clearly.

  • Click on the Message field to input the WhatsApp message you wish to send.

 
 
Image

Attaching an image enables your Practice to share visual clinical data or identification documents directly with a Patient. Visual aids improve the clarity of the information being shared and assist in accurate record-keeping.

  • Click on the Caption field to give your image a name.

  • Click on the Image button to upload an image to send via WhatsApp.

  • The Video Capture screen will open.

Document

Sending documents via WhatsApp allows your Practice to provide a Debtor or Patient with essential paperwork like invoices or reports instantly. Digital document sharing reduces the need for physical copies and speeds up administrative processes.

  • Click on the Caption field to enter the name of the document you want to send via WhatsApp.

  • Click on the Add Attachment button to upload the document.

  • Click on the Delete button to delete the uploaded document.
