How to Edit an Employer on a Debtor's File




Why Use This Function:

You would use this function when you need to capture or update Employer details that is linked to a Debtor. This is especially useful for keeping a clear record of where the Debtor works, which can be important for billing, reporting, or claim purposes. In Injury on Duty claims (IOD), it’s not just useful but it’s essential. The Employer’s information is a required part of the documentation for processing engineering duty claims. By adding it here, you're making sure all the necessary details are in place to avoid delays later in the process.

💡 Please Note: An Employer may also be added to the Debtor file when the Debtor's details are updated. For more information on how to update and edit the Debtors details please refer to the following user manual: View or Update Debtor and Patient Information.


  •  This user manual will start on the Debtor Details screen.



  • Navigate to the Employer field and Click on the Add New Employer button.

  
  • The Employer screen will open.

  • Click on the Name field to capture the Company Name, registered with the Companies and Intellectual Property Commission (CIPC).


  • Click on the Registration field to capture the Business Registration Number as it is registered with the Companies and Intellectual Property Commission (CIPC).


💡 Please Note: Both the Name and Registration are compulsory fields.

  • Click on the Description field to capture a description of the Company, or the sector or industry to which the Company belongs, where the Debtor is employed.


  • Click on the Address fields to capture the Company or Employer's registered physical or postal address.

  • Click on the Contact No. field to capture a contact number where the Company, Employer, or their representative can be reached.


  • Click on the Cell No. field to capture a cellular or mobile number where the Company, Employer, or their representative can be reached.


  • Click on the Fax field to capture the fax number used to send documents to the Company or Employer.


  • Click on the VAT field to capture the Value Added Tax Number of the Company or Employer, if they are registered for VAT.


  • Click on the Save button to complete the data capturing process and save the Employer details.


    • The Employer screen will close and return to the Debtors Details screen. The newly created Employer will automatically populate the Employer field.
💡 Please note: Once the Employer is added, it is not necessary to add a new Employer each time. The Employer will be saved and added to the list of existing Employers.
