WA: Creditor's Statement

A Creditor's Statement is a comprehensive document that provides an overview of the Creditor's account information. The Creditor's Statement facilitates reconciliation between the Creditor and the Practice by presenting a summary of all transactions between the Creditor and the Practice. The Creditor's Statement displays the current balance owed to the Creditor and lists all the invoices, payments and transactions made by the Practice. This document also serves as a check to see if any payments are overdue and give the user a clear understanding of the financial status of the account. A Creditor is a company or person the Practice owes money to for services rendered or goods given. There are three types of Creditors a Practice will encounter a Normal Creditor, an Assistant Creditor or a Manufacturing Creditor.

  • Log in to the GoodX Web App using your GoodX username and password.
  • The Diary screen will open.


  • Click on the Navigation Wheel.


  • The Navigation Wheel will open.


  • Click on the Creditors Segment on the Navigation Wheel.


  • The Creditors screen will open.

  • Click on the Search for a Creditor by Type, Acc No, Creditors Name... field to search for the desired Creditor.


  • Type in the name, account number or type of the creditor the user wants to search.

  • Click on the Creditor whose statement the user wishes to print.


  • The Creditor Sidebar will open.


  • Click on the Statement button to open the Creditor's Statement.


    • The PDF screen will open with the Creditor's statement.



    • A user is able to Print the Creditor's Statement. For more information on printing the Creditor's Statement, please refer to the user manual: WA: Print Creditors Statement
    • An Explanation of the Creditor's statement will be given: 


      • Name: The title of the Practice that will give the Creditor's Statement to the Creditor, for this example the name of the Practice is DOCSTEAM GP.
      • VAT Number: The Practice's VAT number, which is used to identify the Practice as a legal tax-paying business.
      • Practice Number: The Practice number is the 7-digit number that enables a Practice to claim from Medical Aids and switch invoices to Medical Aids.
      • Registration Number: The unique number that is given to the Practice by CIPC to indicate that the Practice is a registered business.
      • Tel: The contact telephone number where the Practice can be reached.
      • Email: The contact electronic mail address where the Practice can be reached.
      • Website: The registered website for reaching the Practice.
      • Page Amount: The amount of pages the Creditor's Statement consists of, for this example the amount of pages is Page 1 of 5.
      • Logo: The symbol of the Practice that will give the Creditor's Statement to the Creditor, for this example the GoodX logo was used.


      • Date: The date (yyyy-mm-dd) on which the Creditor's Statement was created, for this example the date is 2023-02-13.
      • Account No: The unique number that identifies the Creditor's account as captured on the GoodX system.
      • Name: The title of the Creditor that will receive the Creditor's Statement from the Practice, for this example the company name is Xixia Pharmaceuticas (PTY) LTD.
      • Address: The address where the Creditor's head office is located, for this example the address is 123 Tonettie Street, Halfway House, Midrand, 1685.
      • File No: The account number that the Practice has at the Creditor.
      • VAT No: The Creditor's VAT number, which is used to identify the Creditor as a legal tax-paying business.
      • Tel: The contact telephone number where the Creditor can be reached.



      • Source Doc: The unique document reference number assigned to the Goods Received Voucher (GRV).
      • Date: The date (YYYY-MM-DD) the GRV was created.
      • Ref No: The reference number that is given to the GRV for identifying purposes.
      • Tran. Type: The category of transaction that was posted on the system.
      • Document No: The unique number assigned to the GRV for tracking purposes.
      • Description: An explanation of the goods or services provided to the Practice.
      • Amount (Excl): The amount the Practice has to pay excluding VAT.
      • Vat: The 15% Value Added Tax amount the Practice has to pay for the goods or services delivered.
      • Amount (Incl): The total amount the Practice has to pay the Creditor including VAT.
      • Balance: The total amount the Practice owes the Creditor after the GRV has been posted.



      • 120+ Days: The amount in the column has been owed to the Creditor for more than 4 months (120 days) or more.
      • 90 Days: The amount in the column has been owed to the Creditor for 3 months (90 days).
      • 60 Days: The amount in the column has been owed to the Creditor for 2 months (60 days).
      • 30 Days: The amount in the column has been owed to the Creditor for 1 month (30 days).
      • Current:  The amount in the column has been owed to the Creditor for 29 days or less.
      • Now Due: The amount in the column is the amount that is due to the Creditor that must be paid according to the Creditor's and Practice's agreement.
