Creditor Data Change Log


A Creditor is an entity, a company, or a person of legal nature that has provided goods, services, or a monetary loan to a practice. Creditors refer to the party that has delivered a product or service and is owed money by one or more debtors. Once a Creditor has delivered the goods/service, the payment is expected at an agreed-upon date.

The Creditor Data Change Log gives the practice the ability to see what changes have been made to the captured details since the Creditor was created. A Creditor Data Change report can be drawn per Creditor. The report is used by management to have a record of changes made.

  • The contents of this user manual will consist of the following information:
    • Columns
    • Sorting and Filtering
  • Log in to the GoodX Desktop using your GoodX username and password.
  • From the Navigator, Double Click on the Creditors Module. 


  • The Creditors screen will open.


  • Click on Lists on the menu bar.


  • Click on Creditors on the sub-menu.


  • The Creditor Input Screen will open.


      • Right-click on the desired Creditor to be viewed.


        • Click on Log: Data Changes on the sub-menu.


Please Note: A shortcut to the Creditor: Fixed Data Changes Log screen is available, press the Ctrl and the L keys simultaneously on the keyboard.

  • The Creditor: Fixed Data Changes Log screen will open.



Columns 
The Creditor Data Change Log will be divided into columns on the report.


    • An explanation will be given for each column:

      • Field: The different information captured when creating a new Creditor. For more information on where the details of the fields come from, please refer to the user manual: Creating a Creditor/Supplier.


        • The following fields can be viewed: 
          • Address 1: The first text field, for example, PO Box 123.
          • Address 2: The second text field, for example, Suburb details.
          • Address 3: The third text field, for example, the Town.
          • Cellphone: A cellphone/mobile number where the Creditor/Supplier can be reached.
          • Contact: The name of the person to communicate with at the Company.
          • Creditor Group: A classification that links Creditors/Suppliers in order to group them with similar types of Creditors/Suppliers. For example, all medical equipment Suppliers can be grouped together, which will be easier for the user to know what goods or services they provide.
          • Default expense account: The Ledger account. A Ledger account is a financial book (or record) for collecting historical transaction data from a journal and organizing entries by account.
          • Name: The registered name of the Creditor/Supplier. 
          • Tel. number: A landline phone number of the Creditor/Supplier.
          • Username: The login information of the person who created the Creditor/Supplier as well as the person who made changes on the Creditor Input Screen would be displayed.
          • VAT Setting: The different types of VAT, how they will be applied to and calculated on transactions.
          • VAT number: If registered for VAT, the VAT number of the registered Creditor/Supplier will be entered.
      • Blank column: The column is an Indicator column and will show if the information has been inserted or updated. 
        • U: Gives an indication that information has been changed or updated.
        • I: Gives an indication that data was inserted. The data will be the original data that was entered when the Creditor/Supplier was first created.
      • DateWill show the date of the original entry when the Creditor/Supplier was created and, if any changes were made, the date the changes were made will show. 
      • User: The person who created the Creditor/Supplier and who made the changes.
      • Old Value: The original data or previously captured data on the Creditor Input Screen.
      • Value: The most recent data that was captured on the Creditor Input Screen.


Sorting and Filtering

Allows the user to customise the order in which information is displayed and filtered.


    • Drop-down button: Will display a filter drop-down menu of all available fields in the column; the desired field can then be selected from the list.


    • Field filter button: Will sort the columns from the smallest number to the largest number if the field is a numeric field. If the column is a text column, the column will be sorted alphabetically from a to z or z to a.
    • The Creditor: Fixed Data Change log report can be sorted according to a specific column if needed. 
      • Click on the desired Column and drag the column to the top of the report. 


        • The desired Column will be the Header and the information will then be sorted according to the specific Header.


      • Click on the Print button to open the print options.

      • Click on the Done button, to return to the Creditor Input Screen.
