Training Request
In the case that a client requires training on any of the GoodX applications, the client will be required to complete a Training Request form.
Completing the form will ensure the training that is requested, meets the client's expectations and that the correct trainer is allocated.
- The form can be completed by:
- all new clients, and
- all existing clients (new personnel, refresher training, question and answer session).
- Sending the Training Request form link to a Client
- New clients will have training scheduled for them to ensure a smooth start on the new software. Training will be arranged by the Training and Onboarding consultant dealing with the Practice Analysis discussion. This Training Request form link, as well as this Training Request User Manual, will be sent to new clients during the setup period of the system.
- Existing clients who have received training in the past or have new staff members that require training can request training again by informing the dedicated FCL. Upon which, the client’s FCL will send the Training Request form’s link, as well as this Training Request User Manual, to the client through a Ticket. Once the link has been sent from the ticket, the ticket can simply be logged off/Done.

Section 1: Completing the Training Request Form
- Email Address: The email address of the person completing the form.
- Name of Bureau if Applicable: Name of the Bureau (only type "N/A" if the practice / business is not a bureau).
- Name of the Practice / Medical Practitioner: The name of the Practice / Medical Practitioner that is registered (only type "N/A" if the business is not a medical practice).
- BHF Practice Number: Enter the Practice’s PCNS number (Practice Code Numbering System) given by the BHF (the number received from the BHF once the medical practice is registered).
- Name of Contact Person that is requesting the Training: Type the name of the person that should be contacted about the Training Request.
- Contact Person's Phone Number: Type the person that is requesting the training's telephone and/or cell phone number.
- Contact Person's Email Address: Type the person that is requesting the training's email address.
- Type of GoodX Client: Select the most relevant type of GoodX client.
- NEW Single Practice: New GoodX client as a sole-practitioner/group practice.
- EXISTING Single Practice: Existing GoodX client as a sole-practitioner/group practice.
- NEW Bureau: New GoodX client as a medical bureau.
- EXISTING Bureau: Existing GoodX client as a medical bureau.
- NEW Client @ Bureau: New GoodX client as a sole-practitioner/group practice that use the services from a medical bureau.
- EXISTING @ Bureau: Existing GoodX client as a sole-practitioner/group practice that use the services from a medical bureau.
- Other: If any of the above options do not apply, please specify in the Other field.

Section 2: Training Request Details
- Applicable Application: Select the type of application training that is required (if Other is chosen, please specify).
- The GoodX software product consists of a database with two different software applications / front-ends (currently with different capabilities), namely:
- GoodX Desktop Application (App), and the
- GoodX Web Application (App).
- Clients can either use the Web App or the Desktop App or they can choose to use a hybrid of both, depending on the roles users fulfil in the practice.
- An example would be that receptionists and practitioners use the Web App to manage the diary, do billing and use the clinical component of the software. Stock controllers and bookkeepers would use the Desktop App to complete their tasks.
- myGC (my Grand Central): The myGrandCentral Patient Portal is a web and mobile application which is integrated into GoodX. The application makes doctor-patient administration a paperless and pleasant experience.
- Other: If any of the above options do not apply, please specify in the Other field.
- Type of Training Required: Select the type of training required.
- Fundamental / Basic: This type of training only covers basic and fundamental functions in the software to help you get started and understand the basic critical business processes necessary to run a Practice effectively.
- Advanced: This type of training covers more advanced functions in the software; which is best suited for existing clients that are familiar with the Fundamental / Basic functions, new and existing clients using the Stock and/or Financial modules on the Desktop App.
- Question and Answer: If there are questions regarding the uncertainty of a number of different functions within the software, which cannot be answered in one of the other options mentioned.
- Modules / Functions: Select the Modules / Functions that need to be covered in the Training (if Other is chosen, please specify). Please take note of the amount of time that each option will require to be fully covered.
- Fundamental (Day-to-day running of Practice - Accounts & Clinical) - 6 HOURS: Learn the basic critical business processes to run a practice effectively; from the Patient’s Appointment to the Practice’s Reports. - Advanced / Month-End (Account Management, ERAs & Reporting) - 4-6 HOURS: Learn more advanced critical functions that cover some Accounting Management functions, ERA (electronic remittance advice) Management and Reporting within a Practice.
- Stock Management (Basic Principles & Set-up) - 6 HOURS: Learn about the basic principles and set-up off effective Stock Management; from Stock Orders to Stock Reports. Click here for the Stock Management training program.
- Advanced Stock Management & Support (Stock Take & Reporting) - 4-6 HOURS: Learn about more advanced Stock functions necessary for effective Stock Management; such as Stock Taking and understanding Stock Reports.
- Financial / Accounting Management (Basic Principles & Set-up) - 6 HOURS: Learn about the basic principles of effective Accounting Management in a Practice; from Budgets to a Year-End process.
- Advanced Financial / Accounting Management (Recons) Support - 3 HOURS: Learn about more advanced Accounting functions necessary for effective Accounting Management; such as Reconciliations.
- Medical Practitioner - Clinical Only - 2-3 HOURS: For medical practitioners, there is the option to only focus on Clinical functions and the management thereof.
- General Question & Answer: If there are questions regarding the uncertainty of a number of different functions within the software, which cannot be answered in one of the other options mentioned.
- Other: If any of the above options do not apply, please specify in the Other field.
- Preferred Training Location: Select the preferred location on which the Training needs to take place.
- Onsite at the Practice (Ticket will be referred to Admin for a Quotation): Select this option to receive the training onsite at the Practice. Please take note that additional fees do apply for this option.
- Remote / Virtual Training via Google Hangout Meet (Good Quality Internet & Audio Facility Required): Select this option to receive the training online. Please ensure that the Internet connection is of good quality and that the necessary audio facilities are available.
- GoodX Training Facility at 31 Snyman Street, Brummeria, Pretoria: Select this option to receive training at the GoodX training facility in Pretoria.
- From the following three Preferred Training Dates; the Training and Onboarding team will finalise the training date based on their next available date as well as from these selected preferred training dates; starting from the first choice and working down to the third choice if the first and second choices are not available.
- Preferred Training Date - First Choice: Select from the calendar, your first choice of the preferred training date. This date depends on the trainer availability as well as the capacity of the venue (if the GoodX Training Facility is chosen).
- Preferred Training Date - Second Choice: If the first preferred training date is unavailable, please select another date from the calendar. This date depends on the trainer availability as well as the capacity of the venue (if the GoodX Training Facility is chosen).
- Preferred Training Date - Third Choice: If both the first and second preferred training dates are unavailable, please select another date from the calendar. This date depends on the trainer availability as well as the capacity of the venue (if the GoodX Training Facility is chosen).
- Names of Attendees & Roles in the Practice: List the names, surnames and their roles in the practice that should receive the training. Please type as follows: Name 1 Surname 1 (Role), Name 2 Surname 2 (Role), Name 3 Surname
3 (Role), etc.
- Additional Information regarding Specific Training Needs &/or Expectations: If there are any other requirements and/or specifications, complete the Additional Information field.
- Click on the Next button to move onto the next section.
Section 3: Thank You
- The third section will simply inform you that the Training and Onboarding team will contact you as soon as they possibly can to confirm the final arrangements.
- Please Note: The Thank You message does not confirm your submission.
- Click on the Submit button to send the completed Training Request form. If you do not click on the Submit button, the Training Request form will not be submitted.
- To move back to the form's previous sections in order to check and/or edit the answers, click on the Back button at the bottom of the form.
Final / Internal Process
- Once the form is completed, a ticket will be automatically created in the Training and Onboarding project on Odoo.
- From the form’s details, the Training and Onboarding team will contact the client on the same day (if necessary), and finalise a training date from the three preferred training dates that was selected on the Training Request form.
- In the case that the client requested an Onsite Training, then the ticket will be transferred from the Training and Onboarding project to the GoodX Kwotasies project (under the Kwotasies stage) so that a Quotation can be created.
- Only after the Quotation is accepted by the client, then the ticket will be transferred from the GoodX Kwotasies project to the Training and Onboarding project (under the Emails Unassigned stage). The Training and Onboarding team will contact the client on the same day (if necessary), and finalise a training date from the three preferred training dates that was selected on the Training Request form.
Covid-19 Regulations
GoodX Training Facility
- All Clients and Training and Onboarding Consultants must adhere to the national Covid-19 regulations.
- The Training facility will only be available at 50% capacity.
- The Training and Onboarding Consultant and all Clients will be pre-screened to measure temperatures.
- Masks are compulsory at all times.
- Surfaces will be disinfected before and after the Training.
- Disinfectant will be available for use during the training period.
- Unfortunately, no food will be provided during the Lunch period.
- Any person that has received Training at the GoodX facility and is tested positive within 5 days after the Training, must inform GoodX about the positive test result. The same will be communicated vice versa.
- Before discussing Onsite Training, the Client should send their policy to the trainer to confirm that they meet the social distance and hygiene standards of the regulations.
- The Client must send an indemnity by email in which they confirm that they receive our Training and Onboarding consultant/s at their own risk in their Practice / Business.
- Any person that has received Training at the GoodX facility and is tested positive within 5 days after the Training, must inform GoodX about the positive test result. The same will be communicated vice versa.
