Web App: Create New Express Booking

The purpose of the Express bookings is to book a Patient in the Diary and they will immediately have an open and saved file on the system. You don't need any Debtor (Main Member) details. You don't need to do a Debtor Add after the booking was made. The Patient will be saved as the Debtor and the Patient on the file.

The purpose of the General User Settings is to enable the user to set up the following settings: 

  1. Password, Pin code and User Signature.
  2. The Layout of the diary screen and default screens per user.
  3. The Type of system functions to be used.
  4. Task Preferences.
  5. Which bookings should display on the diary.
  6. Inactivity Timeout.

Web App: User Settings - Key Bindings

The purpose of the Key Bindings User Settings is to enable the user to set up their own Keyboard shortcuts to the different functions in the system from this setting preference. A key binding is the assignment of a key or combination of keys on a keyboard with a command.

The purpose of the Reports is for the Practitioner to draw a Report for bookkeeping purposes. A report is a document that presents information in an organized format for a specific audience and purpose. In this case for the Practice and the Doctors.

  • GoodX Reports communicate information which has been compiled as a result of data generated by the system. 
  • GoodX Reports can cover a wide range of data. 
  • Most of the GoodX Reports are accurate, objective and complete when its generated correctly.

There are 6 Reports available in the Web App, the more detailed Reports needs to be accessed via your Desktop App Reports in the MedDebs Module. Click on the link to open the Desktop App Reports.

Web App: Diary Sidebar Functionality

The Sidebar is on the right side of the main diary screen when you click on a Patient booking in the Diary which displays one or more side panel buttons related to the Patients personal, clinical and account details. Each side panel button will open and display a set of logically related data on a new screen. The purpose of the sidebar is mainly to be able to get to the different screens quickly via the shortcut buttons.

Web App: Dental Charting - Diagnosis/Observations and Treatment Planning (Dentist / Specialist ONLY)

The Observation/Diagnosis and Treatment Planning Chart is a graphical tool/function for organising all the important information about the Patients teeth and mouth (Imperfections, Fillings, Replacements) when the Doctor does the Consultation and Billing before, during and after the Appointment.

The Chart helps in Planning what work needs to be done in the Patients mouth and giving the Patient an Estimate of the costs related to the Procedures.

The Periodontal Chart is a graphical tool/function for organising all the important information about the Patients teeth and gums (Plaque, Bleeding, Furcation Lesion, Pocket depths, Mobility, Calculus, Recession) when the Doctor does the Billing after or during the Appointment.

Web App: Dental Specification on Invoice Screen

The primary purpose of an invoice is to provide the Practice and the Patient with a record of service. An invoice serves an important purpose in a business's accounting: invoices demonstrate a Patients or their Medical Aids obligation to pay you for your services. To bill the procedures and items/materials that were used on a patient, you will create an Invoice.

The purpose of a prescription is for a Doctor to prescribe an order for the preparation and administration of a drug or device for a patient.

The Theatre Manager will assist the Practice in managing their Theatre bookings. The bookings can be made in the diary and you will be able to print or download the theatre list from these bookings. The Doctor can either keep the theatre bookings on a separate diary or block out the times for Theatre in their current daily diary. You will have to ENABLE and set up the Theatre Manager and the theatre bookings in the settings and then create the theatre list for it to display in the diary.

Web App: View or Update Debtor and Patient Information

The purpose of updating the Debtor or Patient Information is if any personal information on their side has changed, the Doctor must always have the correct updated details of the Patient. You can view the Debtor and Patient details if you need to get any demographic details eg. a contact number if you need to contact the patient about something specific. If you need to update any personal information you will need to EDIT the Debtor.

Web App: Debtor Sidebar Functionality

The Sidebar is an extended screen with shortcut buttons on the right-hand side where more functions and information is shown of the Debtor/Patient. You access different screens from the Sidebar. The Sidebar can be minimised when not used. The information shown on the Sidebar can be switched off by using the Sidebar Widgets.

Web App: Debtor Search

Providing a search function that searches your Web App for Debtors is a design strategy that offers users a way to find content (such as Debtor or Patient demographic information). The search function makes it easier for users to locate and access debtors or patients instead of having to scroll through the list especially if its a big Practice with a lot of Debtor files.

Web App: Entity Setup - User Setup

Entity Setup is set per Entity to customize the program to the specific needs of the Practice.

The purpose of User Setup:

  • GoodX works according to Users. This is the person who has a login name and is using the login name to open GoodX. You can set up the different users for each Entity under the User Setup.
  • The User will have certain Access, according to the Setup.
  • The Username will show on all the transactions and any changes that were made on the system.

Web App: Peri-Operative - Part 1: Creating the Theatre List on GoodX Web App

GrandXChange is a data exchange portal for Practitioners. The purpose of the Practitioners Portal is to:

  1. Share theatre lists & operation details for shared procedures: the surgeon(s) and anaesthesiologist(s) will be able to share data based on a shared theatre list

The portal is available to:

  1. Practitioners who work on the GoodX Web App to be able to share data with other practitioners who do not have GoodX Web App; and
  2. Practitioners who both work on the GoodX Web App so that they can sync data through Grand Exchange and work directly on their GoodX Web Apps.

Capturing data on Grand X Change does not create Debtors in any Practice Management Application, but creates a shared knowledge base for Practitioners who are involved in shared procedures. Medical debtors can be opened in the software based on shared information.

  • The theatre list will be synced back to the Theatre Diary, where the Patient's details and booking will now be visible.

TAKE NOTE: Capturing data on GrandX Change does not create the Debtors in the Anesthesiologists GoodX Web App but creates a shared knowledge base for the Practitioners who are involved in the shared procedures (The Theatre lists). The medical debtors must still be opened in the Web App based on the shared information from the Surgeon like captured on GrandX Change.

Web App: Peri-Operative - Billing from the Operation Booking

Billing: (ONLY available to Anesthesiologists) the billing ensures that timely, accurate and complete accounts for theatre are submitted to the medical aid or issued to private patients. This will help manage the Anesthesiologists billing as they use certain modifiers for different procedures.

  • Checklist:
    • Make sure the Anaesthetic start and end time are completed.
    • Make sure the right patient modifiers are loaded.
    • Please ensure that your Assistant Doctor is preloaded in GoodX and linked to a creditor and expense account when using Assistants.

TAKE NOTE: The Modifier code - 0043 for Anesthesia for patients under 1 year of age or over 70 years of age will be automatically applied by the system and added on the Billing Summary. As seen below in the example, the patient is over the age of 70 and the 'Patient age <1 or >70' button is marked in green.

The Age Analysis Report displays all the Outstanding balances of the Debtors on the system and the Age of the outstanding balance as per the information selected from the Report set-up.

The Age Analysis Report indicates all the outstanding accounts for both Medical Aid and Private Patient outstanding accounts. 

The Age Analysis Report assists in following up with the Medical Aid or the Patient on outstanding amounts. It can also assist in limiting Bad Debts if the amounts are followed up and collected regularly before 60 days of Age.

  • Most of the GoodX Reports are accurate, objective and complete when its generated correctly.

The Code Statistics Report gives an objective description of all the Codes billed in the Practice, presented in a  statistical table. The purpose of the Code Statistics Report is to provide the Doctor with Statistics on how many procedure codes, material codes, or consumable codes were billed in a specific time frame. It will also show the Turnover, Cashflow, VAT incl/excl, the total paid by Medical Aid and Private Patients per Code. It is meaningful to see how many patients were treated and what codes were billed the most and paid in full to know if the practice is growing. The Doctor can also determine from the code statistics report if some codes are not paid in full or rejected by Medical Aids to know if they should rather bill an alternative code in the future or switch the code over to a Private/Cash code.

The Daybook Report displays a complete list of all the transactions processed between specified dates.

The Debtor Transaction Drilldown Report is used to generate the following Reports:

  1. Debtor Control Ledger Report - Monthly
  2. Audit trail Report (Transactions) - Daily & Monthly
  3. Audit trail Report (Billing items) - Daily & Monthly
  4. Movement Summary Report - Monthly
  5. Code Statistics Report - Daily & Monthly
