3.5. Summary of Procedures in the Practice
The following diagram illustrates all the checks needed to ensure that all critical business processes are successfully completed. This chapter provides a basic summary of the tasks that need to be completed daily, weekly, and monthly.
Daily Procedures
Use the following activities as a guideline to start defining daily procedures:
- Making and managing appointments
- Capture all the day's invoices and payments
- Print and post the day's statements
- SMS / email patients
- EDI Feedback and follow-up of the previous day's EDI batches
- End all cash register sessions
- Reports (Compare totals)
- Send EDI
- Daily Backup
Weekly Procedures
Use the following activities as a guideline to start defining weekly procedures:
- Restart the server
- Medprax update
- Capture Medical Aid remittances
- Do linking of unallocated/unlinked receipts
- Do credit control on outstanding accounts
- Send SMSs and email statements
- Weekly backup
Monthly Procedures
Use the following activities as a guideline to start defining monthly procedures:
- Make sure all the invoices and receipts for the month are finished
- Do bank reconciliation (if applicable)
- Calculate interest (if applicable)
- Do handovers (if applicable)
- Write-off small amounts
- Linking of unlinked receipts
- Patient refunds
- Archive accounts
- Do month-end procedure (if applicable)
- Send SMSs and print statements
- Reports
- Monthly backup
